Job Description

Duties:

Manage the Office of the Assistant Deputy Commissioner - Northern Sector. Act in a confidential manner on all issues relating to the business of the DOC. Direct all office operations and manage all activity within this office. Review office systems as needed for effectiveness and implement necessary changes to enhance the effective management of this office. Coordinate the Assistant Deputy Commissioner's schedule to include scheduling conferences, meetings and respond to outside agencies requests for meetings. Prepare agendas, minutes and briefing packages as required. Act as the Assistant Deputy Commissioner's communication and correspondence manager, responsible for the coordination of information between the Assistant Deputy Commissioner and the Division Heads that report directly. Prioritize and redirect correspondence and telephone inquiries to appropriate staff. Ensure that all issues are responded to in an efficient and timely manner. Act as liaison for Division Managers to ensure that pressing issues are addressed immediately and that appropriate action is taken effectively. Communicate concisely and effectively, any responses to inquiries and ensure that all deadlines are managed appropriately. Ensure that all policies and procedures assigned to the Assistant Deputy Commissioner are reviewed and submitted according to policy and maintain a tracking system to ensure compliance from all reporting divisions. Collect, review and process all reports in a timely manner and in compliance with DOC policy. Coordinate technology requests approved by the ADC. Complete special projects and surveys on behalf of the ADC. Performs all other duties as projects arise.

SPECIAL REQUIREMENTS: Based on assignment, possession of a current and valid Massachusetts Class 3 Motor Vehicle Operator's license may be required.

Preferred Qualifications:

Ability to read and interpret documents such as contracts, disciplinary and incident reports, etc.; Ability to follow oral and written instructions, to gather information through questioning individuals and by examining records and documents; write concisely; express thoughts clearly and to develop ideas in a logical sequence.; Ability to work independently; Ability to exercise discretion in handling confidential information; Ability to communicate effectively both orally and in writing; exercising tact, patience and diplomacy. Good communication, writing and organizational skills are essential. Must be proficient in Microsoft Word, Excel, Power Point and Access.

Qualifications

First consideration will be given to those applicants that apply within the first 14 days.

MINIMUM ENTRANCE REQUIREMENTS: Applicants must have at least (A) four years of full-time, or equivalent part-time, professional, administrative or managerial experience in business administration, business management or public administration the major duties of which involved program management, program administration, program coordination, program planning and/or program analysis, and (B) of which at least one year must have been in a supervisory capacity, or (C) any equivalent combination of the required experience and the substitutions below.

Substitutions:

I. A Bachelor's degree with a major in business administration, business management or public administration may be substituted for a maximum of two years of the required (A) experience.

II. A Graduate degree with a major in business administration, business management or public administration may be substituted for a maximum of three years of the required (A) experience.


III. A Bachelor's or higher degree with a major other than in business administration, business management or public administration may be substituted for a maximum of one year of the required (A) experience.

Education toward such a degree will be prorated on the basis of the proportion of the requirements actually completed.

NOTE: No substitutions will be permitted for the required (B) experience.
