Job Description

The Washington Post is looking for an Assistant to the Executive for the Editorial and Opinions Department, this position provides high-level administrative and operational support, ensuring seamless coordination of daily activities. This role manages schedules, correspondence, and travel arrangements, facilitates communication across teams, and assists in the preparation of materials and meetings. The assistant serves as a trusted partner, handling confidential information with discretion and supporting the efficient operation of the department.

This role reports to the Editor of the Editorial and Opinions department.

  • Provide general administrative support by scheduling meetings, answering phones, submitting expenses for reimbursement, organizing and maintaining confidential files, and arranging travel.
  • Manage executive's schedules by scheduling meetings, reminding about upcoming appointments or reschedules, alerting about time-sensitive emails and requests, booking travel, and preparing materials for meetings and events.
  • Manage department-wide project progress and timelines, ensuring team members keep to deadlines. Facilitate communication between key stakeholders to ensure are completed on time.
  • Manage the agreements for freelance writers, cartoonists, and independent contractors, ensuring timing and accurate payments, updating rates, processing payments and tracking expenses to budget.
  • Monitor the department inventory and supply levels, placing and expediting orders, verifying receipt, processing payments, and restocking.
  • Coordinate the logistics for office/desk relocations and new employee onboarding by arranging for office furniture moves, packing files, coordinating phone and computer setup, and ordering business cards.
  • Support the Editorial board by scheduling meetings, greeting external guests, completing security checks, setting up food and drinks.
Requirements:
  • At least five years of experience as an assistant to an executive, preferably with media background.
  • Proven written and verbal communication skills.
  • Experience managing long and short-term projects.
  • Excellent organizational and office administration skills.
  • Ability to remain calm and flexible under pressure.
  • Outstanding interpersonal and customer service skills.
  • Expertise with Microsoft Office products.
  • Ability to maintain confidentiality of sensitive matters.

Benefits may vary based on the job, full-time or part-time schedule, location, and collectively bargained status.

The salary range for this position is:
74,000.00 - 111,000.00 USD Annual

The actual salary within this range will depend on individual skills, experience, and qualifications as they relate to specific job requirements. This position may be eligible for a bonus or incentive program, and a member of the Talent Acquisition team will discuss bonus payment terms and conditions during the interview process.
