Position Summary:

The Senior Finance Representative - E-invoicing Portals is crucial in the Order-to-Cash (OtC) department, ensuring smooth invoicing operations. Responsibilities include uploading invoices to client portals and resolving discrepancies promptly. To succeed in this role, you must collaborate effectively with both external and internal customers. This includes working closely with the Credit and Collections team, Customer Care, and other departments at Thermo Fisher. Your main goal will be to resolve any issues and ensure efficient cash flow management.

Responsibilities:

  • Accurately upload invoices to various client or governmental portals, ensuring compliance with customer requirements and deadlines
  • Monitor submissions for errors and rejections, and take immediate corrective actions
  • Maintain a tracker for all invoices uploaded and respective statuses
  • Maintain and update a list of customers currently enrolled in Invoice Portals
  • Facilitate newly onboarding customers to Invoice portals, including filling out customer registration forms, getting necessary approvals, and coordinating with CashApps for bank details
  • Investigate and resolve issues related to rejected, disputed, or incomplete invoices
  • Communicate assertively with internal teams and clients to gather necessary details and documents for invoice corrections
  • Resubmit revised invoices or upload additional documentation within agreed timelines to minimize payment delays
  • Collaborate with internal and external collaborators to address issues proactively and eliminate recurring errors
  • Review invoices for accuracy, ensuring compliance with company policies, client guidelines, and SOX requirements
  • Identify gaps and suggest improvements to reduce errors and streamline operations
  • Provide updates to management on rework progress and potential significant risk to cash flow
  • Generate reports on portal activities, rejection trends, and resolution metrics for OtC management
  • Help train and mentor new employees in the OtC department and update DTP manuals as needed. Perform other assigned tasks as directed by the Line Manager.

Skills & Qualifications Required:

  • Exceptional attention to detail and accuracy
  • Familiarity with invoice portals and dispute resolution
  • Assertive communication skills, with the ability to collaborate effectively with a wide range of people to achieve common goals
  • Comfortable in a fast-paced environment
  • Ability to work independently to resolve complex issues and address customer concerns at the first level
  • Strong organizational and time management skills to ensure prioritization and timely completion of tasks
  • Initiative and organizational skills valuable for the timely completion of a large volume of work
  • Willingness to train and mentor newcomers
  • Problem-solving and analytical ability

Qualifications and experience:

  • Fluent in English
  • University or College degree
  • Proficiency in Microsoft Office software (Outlook, Excel, etc.)
  • Previous work experience in a Shared Service Center in a similar role
  • Experience with invoice portals
