Job Description
The Department of State Police is seeking an Administrative Services Coordinator who will perform and coordinate a variety of administrative services for the "S" Troop Commander and Command staff. The various administrative services include the areas of administration, staffing and operations.
Duties of this role include:
- Provide technical support and exercises subject matter knowledge within areas such as Blue Team and provides training to new staff members as requested.
- Prepare reports, manage records, and monitor activities for the "S" Troop Commander and their staff as required.
- Perform, coordinate, and monitor administrative and operational services (e.g., administrative/clerical, payroll, staffing and/or building operational services) within "S" Troop to support efficient operations, including, but not limited to, secretarial and clerical duties, such as assigning case numbers to citizen complaints.
- Perform other functions such as receiving and compiling overtime information from substations and, preparing, drafting, and disseminating Troop Commanders Orders.
- Manage records and databases, researching, proofreading, checking for accuracy and completeness and eliminating duplicated information in Use of Force, Personnel Investigations, and Cruiser Crash reports for upload to Blue Team, for review by the Blue Team Use of Force Committee and other groups within Division of Standards and Training.
- Prepare reports to facilitate efficient operations in "S" Troop.
- Assist Troop Commander, Executive Officer and Operations Officer and Troop Section Unit Commanders of "S" troop in the execution of their duties by making recommendations concerning more efficient workflow processes, resource needs, staffing changes, building operational changes, etc. to improve efficiency and work effectiveness by creating live rosters in Microsoft teams of available uniform branch members, and provide information on staffing, taking into account long term injuries, Military Leave, FMLA extended sick leave, restricted duty or suspension.
- Assist with scheduling and rescheduling for retention exams, return to work physicals, and physical training tests.
- Assist in the coordination of trainings, such as firearms, CPR, Patrol Rifle, and shotgun training; Ensure that requalification takes place before certifications run out.
- Respond to inquiries from internal parties such as section unit commanders and section unit supervisors about operations and staffing issues and external parties such as the general public on complaints and compliments that are received regarding members of "S" Troop, ensuring information is uploaded to Blue Team.
- Liaisons and provides information to external parties about public safety requirements for special events that are going on within the "S" Troop area that may have to involve the State Police, by providing information regarding State Police services and operations.
- Provide on-the-job training, support, and direction to new staff and newly promoted staff to support "S" Troop operations and enhance capability on items such as Blue Team.
- Performs other related duties as required.

MINIMUM ENTRANCE REQUIREMENTS:
Applicants must have at least (A) four years of full-time or equivalent part-time experience in one or multiple areas of the following, as required by the assignment: office management or administration, finance, accounting, purchasing, or human resources or (B) any equivalent combination of the required experience and the substitutions below.
Incumbents may be required to possess a current and valid motor vehicle driver's license at a class level specific to assignment.
Substitutions:
I. An Associate's degree with a major in public or business administration, human resources, accounting, business management or other related degree may be substituted for one (1) year of the required experience.
II. A Bachelor's degree or higher in with a major in public or business administration, human resources, accounting, business management or other related degree may be substituted for two years of the required experience.
