Lease Administration Analyst

Job Summary

The Lease Administration Analyst coordinates rent payment processes, generates reports, and supports the lease management system. Uses existing procedures to solve standard problems; analyzes information and standard practices to make decisions. Receives instruction, guidance, and direction from more senior level roles; has limited impact on own work team; works within standardized procedures and practices to achieve objectives and meet deadlines professional advancement

Responsibilities

Payment of Rent / CAM

  • Directly coordinates monthly rent payment process
  • Proactively generates lease and rent related reports, as well as other Real Estate related inquiries
  • Works with Manager, Lease Administration on CAM reconciliation
  • Works with the Accounting team to identify payment errors
  • Proactively identifies cost savings opportunities based on lease terms
  • Manages relationship between real estate and accounting to ensure accurate and consistent rent and recurring CAM transactions
  • Provides input in the annual budget process

Lease Management

  • Provides advanced support for the lease management system, responding to any escalated issues
  • Performs lease abstraction
  • Drafts Landlord correspondence and supports lease development

Data Integrity

  • Maintains data integrity to ensure consistency with the portfolio

Cross-Functional Coordination

  • Has an advanced understanding of Equinix real estate portfolios and acts as a point of contact for various departments (e.g. Finance, Sales, etc.)
  • Drives discussions with the Legal team on various documents such as SNDAs and other similar transactions
  • Handles landlord conflict resolution on minor issues, while coordinating with other departments as appropriate

Landlord Audits

  • Provides documentation and support to third-party audit consultants to conduct landlord audits

Qualifications

  • Bachelor's Degree is preferred
  • Proven years of experience in lease administration. Finance / Accounting experience is a plus
  • Previous experience within an international business environment is preferred
  • Strong knowledge of Microsoft Excel (Macro/VBA is a plus)
  • Enthusiastic, pro-active & eager to learn
  • Analytically driven and detail-oriented
  • Knowledge of financial & procurement systems such as Oracle & Coupa is a plus
  • Knowledge of Real Estate IT platforms, preferred Lucernex
  • Proficient in English is a must
  • Passionate about Real Estate!
