Main purpose of the job (summary of job, no more than 3 to 5 sentences)

The HR Shared Services Specialist serves as the front line of customer support within the HR Shared Service Center and collaborates closely with the assigned HR Business Partner(s) at each of the Sonepar USA operating companies. In addition to providing excellent customer service, this role serves as a primary lead in processing one or more of the Sonepar USA operating company's payroll and handles many of the day-to-day administrative tasks and inquiries, including HR, Benefits, and Payroll related transactions.

Key Accountabilities

List, in order of importance, the major responsibilities of this position and estimate the percentage of time spent on each responsibility (the main function of the job may or may not be the one where the most time is spent). This should not be an exhaustive task list but capture the major responsibilities of the job. Percentage of time for all responsibilities must add up to 100%, no duty should be less than 5%

Payroll:

    • Process Bi-Weekly, or Weekly Payroll to one or more operating companies (to include, but not limited to: loading and auditing hours, processing and paying commissions, calculating checks, expenses, tuition reimbursements, and special pay scenarios)
    • Maintain and update time systems
    • Calculate, compute, export and audit employee timecards
    • Partner with Treasury and AP teams to send applicable payroll reports and monitor banking limits
    • Enter and process new hires, changes, and terminations (ensuring receipt of all completed documentation and paperwork, meets legal compliance)
    • Process associates going out on leave (FMLA, STD, LOA) and monitoring deductions with the benefits team
    • Responsible for responding and entering wage withholdings

Customer Support:

    • Provide Tier 1 HRSS customer support
    • Response to unemployment inquiries
    • Responsible for employment verifications
    • Responding to state specific inquiries and completing state required reports
    • Act as a liaison with operating companies and process inter-company transfers
    • Identify and research problems

Training/SOP maintenance

    • Collaborates and works cross functionally with other HR team members and departments
    • Maintains operating company fact sheets detailing nuances and policies
    • Assist and participate with training, presentations, communications, and policies
    • Assist with special projects and implementations
    • Opportunity to lead and/or participate in projects within and across departments

Administrative/Record Maintenance:

    • Responsible for scanning and archiving documents in personnel files
    • Responds and assists with audits multiple times a year
    • Ad-hoc reporting

Minimum work experience requirements:

  • 1-2 years relatable work experience

Minimum education requirements:

  • Must be able to work in a team environment
  • Effective communication and interpersonal skills
  • Strong PC skills, particularly MS Excel

Other skills/experience desired:

  • Bachelor's Degree preferred, plus if in fields of HR, Finance, or Business Administration
  • Experience with payroll and time software systems, specifically Dayforce
  • Working knowledge of Federal & State Laws
  • High degree of professionalism, integrity, and ability to work in a highly confidential environment
  • Exudes a high attention to detail
  • Must be comfortable with heavy data entry to ensure a high accuracy rate
  • Ability to adapt to a fast pace changing environment and to approach challenges with creativity and resourcefulness
  • Initiative and self-direction; can apply knowledge and make sound judgment to effective resolve issues
  • Outstanding organizational and client service skills
