Job summary

This is a L&D Operations role; you will work within the Global Talent Management & Inclusion Team supporting both the Learning and Development and Talent Management teams. Strong candidates will be enthusiastic, dedicated, and focused on strategic development and delivery of Rakuten's learning and development programs. The candidate must have experience executing projects and will be a highly motivated professional with demonstrated organizational and communication skills.

The candidate should be extremely proactive, responsible, detail-oriented, and demonstrate a high-level of "scrappiness"(i.e., be a self-starter and get the job done). Additionally, the candidate must be able to grow positive working relationships with partners and colleagues. The candidate must be flexible and possess outstanding intuition and decision-making skills.

Roles & Responsibilities

Operational

  • Optimism University's regional point person for the use of the Learning Management System (LMS)
  • Lead the onboarding and updating of the regional/global learning ambassadors
  • Provide Tier 2 global support for LMS enquiries alongside acting as point of contact for Tier 1 Zendesk Support; Update the standard operating procedures (SOPs) and update the Tier 1 FAQs used by our Shared service center to address end user questions
  • Interface with other departments as necessary to push programs forward, maintain relationships, and leverage cross-functional work
  • Manage communications for specific program launches
  • Create quarterly reports that outline trends in learning and YTD metrics
  • Support in the administration of any external learning platforms
  • Support Onboarding Programme Manager to launch and track onboarding material globally
  • Use Dreamweaver to update HTML code on Optimism University and other portal pages

Training Coordination

  • Support Programme Managers in the coordination of programmes, whether this be face to face or virtual.
  • Updating training attendance in the LMS
  • Administering pre-work and post-work when necessary
  • Enrolling learners in sessions
  • Assisting with programme communication
  • Working with external vendros to ensure they are prepared

Evaluation

  • Make sure vendors have the relevant evaluation link
  • Ensure the relevant stakeholders have access to evaluation dashboards
  • Update dashboards as and when required

Communications & Marketing

  • Work with regional Corporate Communications teams to send out Spotlight Courses, Quarterly Newsletters, and any ad-hoc marketing requirements
  • Work with the internal team to effectively market programmes
  • Understand busy/quiet times of the year and marketing programmes around this

Finance

  • Support the budget strategy and tracking
  • Organise external training payments
  • Set up new vendors and process invoices
  • Process expenses

Minimum Requirements

Technical /functional expertise

  • Strong MS Office knowledge, particularly MS Word, Outlook, Excel and PowerPoint
  • Minimum 3 years' experience in HR
  • BS/BA degree in any field
  • Project coordination experience (2 years minimum)
