This role is part of Parametric's hybrid working model, which includes working in the office 3 days a week and choosing to work remotely or in the office the remaining days of the week.
GENERAL DESCRIPTION
This position is the administrative and project management partner to the Managing Director of Investment Strategy (MD) and is a key member of the Investment Strategy team, helping them progress strategic initiatives and make effective use of their time. We are seeking a motivated, confident individual who is interested in the financial industry and seeks a long-term career helping investment teams achieve ambitious goals and outstanding results. This position also serves as a contributing member to the Executive Administration team, and requires the ability to anticipate needs, think critically, and offer solutions to problems with a high level of professionalism and confidentiality. The candidate should have the ability to build strong relationships within and across various departments and will partner heavily with the Research Department Executive Assistant. PRIMARY RESPONSIBILITIES
- Play a central role in coordinating strategic initiatives owned by the MD and ensuring their timely execution. This could include direct project management of an initiative owned by the MD or acting as a primary point of contact for a project manager of an initiative that the MD contributes to
- Initiate and contribute to efforts to maximize employee engagement and enhance the employee experience within a hybrid work structure via ongoing and one-time initiatives. For example: employee onboarding, training and development, social events, communication flow, facilities and technology change management
- Act as first point of contact among executives, employees, clients, and other external partners for questions; Prioritize and follow up on incoming issues and concerns, including those of a sensitive or confidential nature; Determine appropriate course of action, referral, or response.
- Ensure agenda, materials and participants are prepared in advance of any meeting or engagement, and that follow-ups are properly documented, including detailed minutes for certain meetings; Organize, compile, and store presentations and meeting materials.
- Schedule and manage the day-to-day and long-term calendar for the MD; Use discretion to ensure time is well-utilized; Assume central coordination for internal and external requests including but not limited to media, thought leadership, conferences and events, and client meetings;
- Arrange travel as needed, including conferences, on-sites, off-sites and virtual; prepare and submit expense reports
- Create procedures and documentation to enable uninterrupted support in the case of planned or unplanned disruptions.
- Work with Manager and MD to capture the evolving needs of the firm and suggest possible solutions.
- Help manage the calendar and arrange travel for select reports to the MD, as possible
- Provide back-up support to the Executive Administration team for vacation/leave coverage, specific tasks, and/or projects.
- Support firm-wide events or initiatives as part of the Executive Administration team.
- Other duties may be assigned to meet the business needs.
JOB REQUIREMENTS
- Bachelor's Degree preferred
- 3+ years prior executive assistance experience; comparable experience encouraged to apply
- 1+ year customer service experience; comparable experience encouraged to apply
- Proficient/Expert in MS Office applications (Excel, Word, PowerPoint, and Outlook)
- Demonstrated ability to learn new technology systems and processes to improve efficiency and productivity
- Must be able to work on-site in the Seattle office at least 3 days a week with flexibility based on ad-hoc business needs
- Comfortable working across multiple communication platforms (Microsoft Teams, Skype, Zoom, etc.)
- Experience creating multi-segment, multi-destination travel itineraries
- Must be client service oriented; Very strong attention to detail; Must demonstrate accuracy, thoroughness, and patience.
- Excellent written and verbal communication
- Strong interpersonal skills, emotional intelligence, and ability to work well with others across various locations and cultures
- Confidence to take initiative and use good judgement to make decisions proactively; Flexibility to work autonomously and as part of a multi-disciplinary team
- Ability to work efficiently, juggle multiple projects with appropriate prioritization, adhere to quick deadlines, deal comfortably with ambiguity, and adapt to evolving circumstances
- Experience in exercising sensibility, discretion, and diplomacy in handling all matters, information, and relationships (including confidential or sensitive information)
- Ability to independently learn new technologies, and processes and navigate systems to solve problems.

Salary range for the position: $70,000 - 150,000/Yr. The successful candidate may be eligible for an annual discretionary incentive compensation award. The successful candidate may be eligible to participate in the relevant business unit's incentive compensation plan, which also may include a discretionary bonus component.
