Per our J&J Flex Policy, the expectation for this position is to work in the Raritan, NJ office 3-4 days per week and work from home 1-2 days per week.

Remote work options may be considered on a case-by-case basis and if approved by the Company.

The NEUWAVE™ Microwave Ablation System is designed with the premise that each patient, and each lesion is unique. The system has a range of probes with distal energy control, multi-probe capabilities, and TISSU-LOC Technology along with advanced visualization and guidance software, enabling interventional radiologists to efficiently tailor ablation zones and confirm margins.

This is an exciting administrative opportunity to support the NeuWave Business Unit Leader, Sales and Marketing teams. This position includes complex administrative duties and assignments with competing deadlines requiring the use of sound judgment and discretion, independent assessment, and resolution of complex situations/problems. Capabilities include flexibility, approachability, advanced organizational skills, attention to detail, follow through, and proactivity.

With minimal direction, the individual will perform advanced administrative duties:

• Manage complex and dynamic calendars, arrange meetings (all logistical details, technology, etc.) and assist with conference schedule management.

• Coordinate domestic travel arrangements through Concur and prepare expense reports for leaders

• Independently coordinate large internal department meetings on and offsite, virtual and in-person, including scheduling, agendas, materials, room, catering, equipment, etc.

• Track all field visits and commentary drives conducted by managers as per the field guidelines established.

• Manage full process of all field-based exhibit and sponsorship requests ensuring sufficient external documentation, HCC compliance, identification of suppliers within Aravo, Totality completion, and Ariba payment processing.

• Assist with creating Excel based templates and roll-ups of financial information including budgets, regional business reviews and trackers.

• Responsible for pulling together content from stakeholders and crafting communications including monthly email field communications, townhall PPTs, etc.

• Actively stay informed of company policies, procedures, and guidelines relevant to the functioning of the department and be the subject matter expert for policy and process questions from the FSO.

• Prepare and edit organizational charts, update distribution lists and maintain SharePoint/TEAMS information including upload/update files as appropriate. Prepare and handle highly confidential correspondence and file system management.

• Coordinate recruiting activities, communication with candidates, schedule candidate interviews and interviewer debrief, welcoming and onboarding/transition of new team members (IT equipment, company car, etc.), and help process terminations.

• Work on special projects as business needs arise.

• Routine budget ARIBA and e-marketplace management and Totality: processing contracts, sponsorships, display fees for regional conferences

• Position may require coordination of and attendance at events outside of normal business hours (less than 5% of the time).

Qualifications

Required:

• A minimum of a Vocational, Certificate, Technical or an associate's degree

• A minimum of 8 years of administrative experience

• Experience supporting Business Unit Leader/Marketing and Field Team

• Customer and employee focused, able to multi- task, and work under minimal supervision.

• Strong calendar management and meeting scheduling dealing with multiple time zones

• Strong digital literacy and proficiency with productivity tools and portal technology (Our Source, Zoom, TEAMS, Concur, Ariba, Aravo, Totality, E-Marketplace, Sharepoint).

• Highly Proficient with Microsoft office technologies (Power Point, Word, Excel, Outlook).

• Excellent verbal and written communication skills, exceptional interpersonal skills, and ability to partner collaboratively.

• Ability to successfully work in a fast -paced environment with constant shifting priorities required.

• Meticulous orientation to detail and must possess strong communication and organizational skills.

• This position may require up to 10% travel.

For U.S. applicants, in accordance with applicable disclosure requirements, the anticipated base pay range for this position is $59,850 to $96,600.

This position is overtime eligible.
