The Site Administrator provides essential on-site administrative support for Eaton's project delivery team in large data centers, ensuring clear processes and accurate site data management. This role requires flexibility to handle unexpected requests while collaborating with various internal and external stakeholders. Ideal candidates are motivated problem-solvers who excel in a fast-paced environment and embody Eaton's culture of teamwork and excellence. The position demands strong organizational and communication skills to maintain high ethical, safety, and quality standards while meeting tight deadlines.

What you'll do:

  • Documentation Management: Collate and file completed Daily Task EHS documentation, maintaining both electronic and hard copy records.
  • Toolbox Talks: Create toolbox talks and attend EHS meetings in the absence of the EHS Manager.
  • Safety Training Coordination: Coordinate safety training for new personnel and visitors, liaising with third parties for necessary documentation.
  • Personnel Management: Log and load personnel information into the Data Scope System (Site Personnel Management system).
  • Delivery Coordination: Book, track, and manage deliveries, ensuring Eaton's presence as required.
  • Time Sheet Processing: Process and collate time sheets to generate overviews and statistics.
  • Daily and Weekly Scheduling: Maintain daily and weekly work schedules to track task progress.
  • Test Results Management: Collect and file Third Party and Eaton test results/certificates on SharePoint in the appropriate folders.
  • Weekly Toolbox Talk Participation: Attend weekly toolbox talks and manage sign-off sheets.
  • Progress Meetings: Chair weekly progress meetings and share results with the Management Team.
  • Process Optimization: Continuously optimize administrative processes and maintain a clean desk policy.
  • General Support: Cover meetings and represent the team during absences, and perform any other tasks necessary for project smoothness.

Qualifications:

  • Bachelor desirable;
  • Minimum of 3 years previous administration for a team and/or a demanding environment.

Skills:

  • Fluent English and Spanish;
  • Experience in construction or other project environments a plus;
  • Must be experienced with Microsoft Office 365 (product suite);
  • Additional familiarity with Compass, Datascope, ViewPoint and SharePoint would be seen as a plus;
  • Must have right to work in the EU.
