Whether it's drafting an email, coordinating a meeting, or ensuring the Network Office is organized, you pay attention to the details, care about aesthetics, and enjoy solving problems - in fact aesthetics and details excite you! You thrive on tackling and completing multiple projects with competing deadlines, you are invigorated by new challenges, you can synthesize and communicate key details, and enjoy driving towards larger organizational priorities. This is what you’ll do as an Executive Assistant (EA) to Coney Island Prep’s CEO.

The EA serves as a primary resource for our CEO by providing administrative support including but not limited to, coordination of minutes for Board meetings, support with calendar management, travel or purchasing needs and drafting key correspondence. The EA will regularly interact with the Senior Leadership Team, network office staff, school staff, families, and donors. They will also be responsible for proactively managing the network office - ensuring key materials and supplies are available, enhancing aesthetics, and putting systems in place so that the office runs smoothly on a day-to-day basis.

The EA will be hired by and report to the CEO.

What You’ll Be Asked To Do

  • Provide administrative support to the Chief Executive Officer 
  • Proactively communicate, anticipate needs, and solve problems
  • Consistently manage a holistic view of priorities and deliverables
  • Identify, prepare and compile necessary materials to ensure the CEO has appropriate information for meetings, reports, presentations, events and projects
  • Undertake research projects as needed to collect and analyze data as background for meetings and special projects
  • Ensure tasks are completed with fidelity, accuracy, resilience, discretion, and diplomacy 
  • Schedule a complex and dynamic calendar, field telephone calls and visit requests with an eye for time sensitivity, confidentiality and setting/managing expectations
  • Act as liaison between the CEO and all departments/staff within the organization, as well as key external constituents (including, but not limited to: board members, high level donors, and government officials)
  • Represent the CEO in key communications with internal and external constituents, and building crucial relationships at all levels of the organization and beyond
  • Decide daily which inquiries can be handled directly by EA, which to refer elsewhere, and which should be addressed by the CEO
  • Ensure that all network office spaces are neat, organized, beautiful and optimized for their designated use
  • Oversee approval process, staff communication, and documentation associated with purchasing of office materials, supplies, and equipment
  • Track Network Office expenses against budget allotment and forecast future spending needs
  • Maximize resources by negotiating and diligently researching pricing on purchases

  • Initiative, ability to plan ahead, and anticipate needs of the CEO
  • Self-reflective and open to feedback, with the ambition and desire to grow and develop
  • A positive, solutions-oriented attitude and drive for excellence
  • Professional demeanor and interpersonal skills to foster relationships with diverse audiences, vendors, staff, scholars and their families
  • Bachelor’s degree; at least three years of work experience, preferably in operational or administrative work, charter school experience a plus
  • Must be able to lift and carry or otherwise move up to 10 lbs 
  • Proficiency with Mac, Google Suite, iPhones and Excel; SAP Concur experience a plus
  • Multilingual proficiency a plus

Coney Island Prep is a college preparatory public charter school in Brooklyn, New York. Merging growth, performance, and commitment, the Coney Island Prep community takes its responsibility to prepare scholars for the college and career of their choice very seriously, but not ourselves. We balance our sense of ownership and responsibility with humility and levity and support each other every step of the way. Coney Island Prep currently serves over 1,300 scholars across its four schools, including:

  • 312 scholars in kindergarten – second grade at the lower elementary school
  • 336 scholars in third – fifth grade at the upper elementary school
  • 348 scholars in sixth – eighth grades at the middle school
  • 349 scholars in ninth-twelfth grade at the high school

Benefits and Compensation

  • Employees at Coney Island Prep are provided with salaries that are highly competitive, set through a lens of equity, and based on an individual’s skills and experiences relevant to the role. The salary range for this role is $80,000 - 95,000.
  • As a regular full time employee of Coney Island Prep, you will be eligible for benefits that include medical, dental, vision, and life insurance as well as a 403(b) retirement benefit package with match and Paid Family Leave.
  • Staff are provided with a MacBook Air and access to all the necessary technology and resources needed to succeed in their role.
