Job Description
Event Management AM, GBS is part of the GBS ESE (External Stakeholder Engagement) and Sponsorship Team and will be responsible for supporting ESE and Sponsorships processes at the global, regional and at the country level; Partners with Engagement and Sponsorship Owners across all functions for planning future engagements, guides through the related requirements, optimizes the review process and related operational support.
- Support engagements for Biogen’s ESE tool in collaboration with the EO based on prioritized needs.
- Manage each engagement as a small project and ensure engagement owners are contacted promptly to ensure meetings are not at risk.
- Act as subject matter expert of the ESE tool.

- Support project budget management including reconciliation at project close;
- Manage stakeholders within the ESE tool, including background checks, tiering, obtaining Fair Market Value (FMV) deviation as needed, and adding supplier and contracting information.
- Assist EO with any pre-event changes and coordination related to the engagement.
- Support the EO to ensure timely closure of engagements by uploading appropriate documentation related to internal Biogen processes and policies.
- Create and manage POs in Oracle (including managing new supplier set up).
- Complete contract templates (and amendments as needed) ensuring services are as described and approved. Arrange for contract signing and storge within Biogen’s Contract Lifecycle Management system. Escalate questions to Legal and Compliance as necessary.
- Obtain evidence of service from EO, receipt POs as required, collate invoices & expense forms submission and arrange for payment.
- Advise EO on required documentation.
- Assist with document collation and upload to ESE system.
- Co-ordinate final budget reconciliation and approvals as needed.
Qualifications
- University degree or the equivalent combination of education and experience required;
- Advanced/graduate degree preferred for some disciplines.
- 3-5 years experience in a fast-paced administration or operational role within China Pharma/Biotech, with event operation support experiences
- Working knowledge and experience in own job discipline and demonstrates foundational knowledge of related disciplines.
- Excellent verbal and written communication skills in English and other major EU languages (preferred).
- Experience in partnering and collaborating with cross-functional teams.
- Strong customer service, organizational skills, and experience with managing E2E event/sponsorship support process.
- Experience working with workflow programs and strong overall acumen with MS Office tools.
- Strong organizational skills, and ability to accomplish multiple tasks within the agreed timeframes through effective prioritization of duties in a fast-paced environment
- Experience with Medical engagements is a plus but not required.
