Operations Services provides support services to ZS professionals as they complete their work. The operations services team provides facilities coordination, office operations support, catering coordination, and inventory control.
As a Senior Operations Assistant, you will be at the heart of our office operations, ensuring that our workplace runs smoothly and efficiently. Your role is crucial in maintaining an organized and productive environment, where ZS professionals can thrive. You will manage a variety of operational tasks, from coordinating facilities and supplies to overseeing vendor relationships and supporting office logistics. Your efforts will ensure that our office remains a well-oiled machine, enabling our team to focus on delivering exceptional work.
SENIOR OPERATIONS ASSISTANT
What You'll Do:
- Serve as the welcoming face of our office by handling front desk reception duties, including answering phones, greeting and escorting visitors, and managing mail and deliveries.
• Act as the primary point of contact for multiple vendors, including property management, suppliers, and office services, ensuring smooth and efficient operations.
• Collaborate with the landlord to coordinate building services and manage office equipment maintenance, repair, and replacement.
• Oversee the ordering and inventory of office and kitchen supplies, ensuring that all necessary materials are readily available.
• Assist with office finance tasks such as expense reconciliation, vendor invoice processing, and general purchasing.
• Coordinate disaster management functions to ensure the safety and preparedness of the office.
• Manage and support local office registration processes, both one-time and ongoing.
• Provide orientation and procedural instruction to new employees, facilitating a smooth onboarding experience.
• Organize and set up office meetings and events, including catering arrangements, to ensure successful gatherings.
• Enhance manager productivity by providing comprehensive administrative support, including scheduling, call screening, vendor interactions, and email correspondence.
• Support IT-related administrative tasks to maintain efficient technology operations.
• Contribute to special projects as needed, showcasing your versatility and problem-solving skills. - Hours are 8:00 am - 5:00 pm or 8:30 am - 5:30 pm. This is an in-office position. Must work on-site five days a week.
What You'll Bring:
- High school diploma required. Post-secondary education or Associate's or Bachelor's degree preferred.
- 5 years of relevant experience as an Operations/Administrative Assistant, ideally in a professional services environment.
• Proficiency in MS Office (Word, PowerPoint, Excel, and Outlook) is essential.
• Strong oral and written communication skills are crucial for effective interaction with team members and external partners.
• Maintain a professional appearance and demeanor, exercising good judgment and discretion in all interactions.
• Demonstrate dependability, punctuality, and meticulous attention to detail in all tasks.
• Be a proactive self-starter capable of managing a wide variety of tasks and meeting deadlines.
• Experience working both independently and collaboratively in a demanding environment.
• Sense of humor is appreciated and contributes to a positive work atmosphere.

Travel:
Travel is a requirement at ZS for client facing ZSers; business needs of your project and client are the priority. While some projects may be local, all client-facing ZSers should be prepared to travel as needed.
