As a Senior Executive Administrative Assistant, you will provide strategic, high-level support to the Co-Executive Chairman, ensuring seamless operations across professional and complex logistical requirements. You'll act as a trusted partner, managing intricate schedules, confidential communications, multifaceted projects, and financial oversight while driving operational efficiency.

1. Executive Support & Logistics Coordination
- Proactively manage complex professional and personal calendars, including global meetings, travel logistics, appointments, school schedules, and special events.
- Liaise with aviation teams, property managers, and travel/concierge services to ensure seamless travel logistics.
- Renew and maintain identification and travel documents including multiple passports, visas, and driver's licenses.
- Electronically monitor and manage postal mail ensuring important communication is received and handled appropriately.
2. Financial, Legal, & Compliance Oversight
- Manage accounts payable, expense reporting, and reconciliation for banking accounts, credit accounts, major assets and investments.
- Oversee tax planning, compliance, and preparation of personal, LLC, and estate filings, including federal, state, local, property, and excise taxes.
- Review and negotiate contracts, insurance policies, licenses, and legal documents to ensure accuracy and regulatory compliance.
- Reconcile banking and credit statements and keenly monitor accounts for fraudulent activity.
- Track and disburse charitable contributions, pledges, DAF donations, and annual staff bonuses.
3. Liaison & Advisor Coordination
- Serve as the primary point of contact for internal/external partners, including legal counsel, tax advisors, and family office partners.
- Facilitate collaboration among external advisors to align financial, legal, and operational strategies, including LLC structuring and compliance.
4. Operational Excellence & Process Leadership
- Streamline workflows using Microsoft 365, Google Suite, Slack, and financial management tools.
- Design and implement cross-functional processes to enhance communication, efficiency, and accountability.
- Track and analyze monthly reports, providing concise summaries and executing leadership directives.
5. Strategic Partnership & Special Projects
- Anticipate executive needs, resolve conflicts, and propose solutions with discretion and autonomy.
- Provide backup support for Sr. Executive Assistant as needed
- Manage ad hoc projects as needed.
This role has been categorized as a Remote position. "Remote" employees do not have a permanent corporate office workplace and, instead, work from a physical location of their choice, which must be identified to the Company. U.S. employees may live in any of the 50 United States, with limited exceptions.
In California, Colorado, Connecticut, Hawaii, Illinois, Maryland, Minnesota, Nevada, New York, Washington state, and Washington DC the standard base pay range for this role is $105,900.00 - $169,100.00 Annually. This base pay range is specific to California, Colorado, Connecticut, Hawaii, Illinois, Maryland, Minnesota, Nevada, New York, Washington state, and Washington DC and may not be applicable to other locations.
In addition to a competitive base salary this position is also eligible for equity awards based on factors such as experience, performance and location. Actual amounts will vary depending on experience, performance and location.
Who you are
An established Sr Executive Assistant with a minimum of 12+ years of experience, with at least 7-10 years of experience in accounting, financial management, or a related field, preferably within a family office or high net worth environment. Experience in the technology sector is a plus, though not required. A highly motivated self-starter with extraordinary levels of discretion and good judgment, remarkable performance standards, strong attention to detail, and initiative to take action and get things done.
Qualifications and Skills:
- Established Sr Executive Assistant with 12+ years of experience including a minimum of 7-10 years of experience in accounting, financial management, or a related field, preferably within a family office or high net worth environment
- Experienced at leveraging various programs and applications to effectively provide support remotely
- Experience managing complex financial portfolios, including real estate, aircraft, and other high-value assets.
- Knowledge of tax planning, estate planning, and compliance
- Demonstrate and display professionalism with a high degree of subtlety, tact, and judgment
- Use sound judgment and discretion when handling highly confidential and proprietary materials
- Excellent influencing, negotiating, communication, and organization skills
- Ability to think and plan proactively, delegate responsibilities appropriately, and manage time effectively
- Ability to multitask, anticipate needs, continually shift priorities on a moment's notice, and balance competing priorities
- Ability to work independently and comfortably within a team environment
- Strive to exceed expectations with a customer-focus attitude
- Enjoy problem-solving, working collaboratively with others and building effective working relationships

- Experience working in the technology sector preferred, though not required
- Bachelor's degree preferred
