The assistants work on diverse problems, requiring a thorough analysis of identifiable factors and exercising judgment within generally defined practices and policies to select the best methods and techniques for obtaining solutions. Our Assistant Community is composed of highly competent operators who are essential business partners to our executives, ensuring the seamless execution of their responsibilities and contributing to the overall success of the organization.

About the role

We are seeking an Executive Assistant who exemplifies discretion, integrity, and professionalism in supporting senior executives and partnering with other assistants. This a unique role providing rotational support in the highest need areas based on business need as well as managing event ticket logistics, ensuring smooth coordination for team morale events and retreats. The successful candidate will provide comprehensive administrative support, manage calendars, organize travel, and coordinate team events while proactively anticipating needs and driving improvements. Strong problem-solving skills when facing complex tasks are essential for managing requests related to scheduling and events, while exceptional organizational and communication skills are necessary for effective collaboration with stakeholders and to drive improvements.

Responsibilities include:

  • Provide top-level support to senior executives with discretion and professionalism
  • Act as a liaison with internal teams and external partners
  • Manage complex executive calendars and scheduling
  • Secure and manage intricate travel arrangements
  • Plan and execute internal and external executive events and meetings
  • Implement processes for clear communication and operational excellence
  • Track administrative activities and drive completion of key deliverables
  • Handle expense reporting, records management, and other duties as required
  • Anticipate follow-ups and manage upcoming needs proactively
  • Support special projects and build partnerships across functions
  • Assess and prioritize requests on behalf of executive(s)
  • Oversee event ticket management, ensuring proper configuration and access, act as key point of contact, and track utilization
  • May require 25% annual travel

This role has been categorized as a Remote position. "Remote" employees do not have a permanent corporate office workplace and, instead, work from a physical location of their choice, which must be identified to the Company. U.S. employees may live in any of the 50 United States, with limited exceptions.

In California, Colorado, Connecticut, Hawaii, Illinois, Maryland, Minnesota, Nevada, New York, Washington state, and Washington DC the standard base pay range for this role is $88,200.00 - $140,800.00 Annually. This base pay range is specific to California, Colorado, Connecticut, Hawaii, Illinois, Maryland, Minnesota, Nevada, New York, Washington state, and Washington DC and may not be applicable to other locations.

In addition to a competitive base salary this position is also eligible for equity awards based on factors such as experience, performance and location. Actual amounts will vary depending on experience, performance and location.

Who you are

An established Executive Assistant with 7+ years of experience, including 3-5 years supporting senior-level executives and 2 years remotely. Experience in effectively managing the administration of a project ensuring key stakeholders are kept apprised. Experience in the technology sector is a plus, though not required. A highly motivated self-starter with strong discretion and judgment, high performance standards, strong attention to detail, and initiative to take action. Comfortable supporting multiple executives simultaneously and navigating changes in executive support.

  • Proven experience supporting multiple senior executives
  • Proficient in various technology applications for remote support
  • Excellent communication, negotiation, and organizational skills
  • Ability to multitask, prioritize, and manage time effectively
  • Exhibit professionalism with subtlety, tact, and sound judgment
  • Handle confidential materials with discretion
  • Strong problem-solving skills and a collaborative approach
  • Work independently with a customer-focused approach, considering key stakeholders' needs
  • Innovate and improve processes while proactively resolving issues
  • Accept accountability for outcomes and act on constructive feedback
  • Proficient in Microsoft Office Suite, Google Suite, Zoom, and Slack
  • Experience working in the technology sector and event ticket management preferred, though not required
  • Must be able to provide support at minimum during the hours of 9am - 6pm PT with flexibility to be available on call during evening and weekend hours as needed to address urgent event needs
  • Candidates located in Seattle, WA preferred
  • Bachelor's degree preferred
