About this role:

Wells Fargo is seeking an Executive Specialist. This position will support the Head of Global Operations for Wells Fargo. He leads a team of more than 85,000 people who provide middle and back-office operational services for Wells Fargo's five lines of business (Consumer Banking, Consumer Lending, Wealth and Investment Management, Commercial Banking and Corporate and Investment Banking), the firm's Enterprise Functions as well as managing the business operations located in India and the Philippines.

This Executive Specialist will provide a high level of professional support which includes a balance of senior executive level administrative work, as well, as ongoing ad hoc project/business initiatives such as planning meetings, tracking deliverables, and pulling routine reports.

In this role, you will:
  • Performs heavy calendaring, complex travel planning, extensive document creation/editing and preparing expense report submissions
  • Meeting logistics and preparation, managing invitations and facilities and providing detailed data, information and resources to leader and participants
  • Handle all personnel and confidential company materials with sensitivity and discretion
  • May interact with shareholders, regulatory agents/representatives, media representatives etc.
  • Responsible for drafting complex and/or confidential correspondence
  • Establishes and implements office procedures and controls
  • Acts as an information source on group and company policies
  • Responsible for facilities support, floor administration, some space planning
  • On-board new team members
  • Coordinates facilities support, floor administration, space planning
  • Providing HR administration proxy may include Staff Management, Recruiting Solutions, PTO tracking, Annual Compliance tracking.
  • Develops excellent relationships with peer Executive Assistants and coordinates team admins across functions
  • Heavy scheduling of appointments with senior level executives and interacting with their executive support staff.
  • Leveraging strong interpersonal and social communications skills to answer phones, interact by email and resolve scheduling conflicts.
  • Preparing reports and presentations using MS Office applications, internal databases, and external resources.
  • Supporting the distribution of internal communications and managing related distribution lists
  • Assisting with invoice processing with knowledge general ledger lines and/or expense accounts; researching general ledger issues
  • Reviewing correspondence, reports, memos, and presentations, including responsibility for proofreading, editing, and quality control. Some composition of correspondence will be required as well.
Required Qualifications:
  • 2+ years of Executive Administration experience, or equivalent demonstrated through one or a combination of the following: work experience, training, military experience, education
Desired Qualifications:
  • Experience as an Executive Assistant within the financial services industry
  • Experience supporting senior level leaders/executives
  • Experience supporting multiple managers with calendar management, travel arrangements, scheduling of meetings, events and onboarding
  • Experience with Wells Fargo systems such as Workday, Talent Management, HRG, My Concur or GL31 Income statements
  • Experience writing and editing internal communications, including corporate and executive level communications
  • Experience with synthesizing data from multiple sources and presenting it in appropriate formats
  • Experience reviewing and preparing expense reports for leaders
  • Advanced Microsoft Office (Outlook, Excel, Word, PowerPoint, LiveMeeting, and SharePoint) skills
  • Ability to develop partnerships and collaborate with other business and functional areas
  • Ability to execute in a fast paced, high demand, environment while balancing multiple priorities
  • Ability to take initiative and work independently with minimal supervision in a structured environment
  • Strong organizational, multi-tasking, and prioritizing skills
  • Strong time management skills and ability to meet deadlines
  • Ability to deliver concise, time critical information to all levels of management, technology, and business teams
  • Ability to leverage problem solving and advanced judgment skills to make decisions in situations where there are no established procedures
  • Ability to be flexible and adjust plans quickly to meet changing business needs
Job Expectations:
  • Ability to travel up to 10% of the time
  • This position offers a hybrid work schedule
  • Willingness to work on-site at the posted location

Pay Range

Reflected is the base pay range offered for this position. Pay may vary depending on factors including but not limited to achievements, skills, experience, or work location. The range listed is just one component of the compensation package offered to candidates.
$42.16 - $74.95
