Your New Role...
In this role you will be a key member of the Nordics businesses. You will help the different departments and be a vital link between them, and with your Leadership Assistant colleagues in the other Nordic Countries, you will report to the Local Community Leader. The role will vary from traditional Leadership Assistant responsibilities to supporting ad-hoc projects across a range of business leaders and business areas.
Your Role Accountabilities...
The key focus will be supporting our Community Leader and selected members of the Nordic Leadership team; including coordination of department administrative and operation's needs, where applicable.
Responsibilities will include but not be limited to:
- Schedule, organize and co-ordinate meetings, with special attention to multiple time zones affecting the participants and minimize diary conflicts, including preparation and distribution of materials, agendas, catering, notes and minutes, handouts.
- Initiate and coordinate community activities and events with a focus on collaboration and culture building
- Prepare or assist on events and special projects which may include compilation of documentation for meetings, creating decks for executive briefings, planning and logistics for team meetings
- Assist with various administrative tasks; support with travel expense reports, prepare purchase orders, submit and track monthly expense claims.
- Arrange and/or coordinate point-to-point travel (car, flight, hotel, restaurants etc.)
- Point of contact for the Community Lead and other key members of LMT, internal and external contacts, clients and service providers.
- Coordinate with other departmental key contacts and administrative assistants to provide support for the entire business.
- Ad hoc duties may be required from time to time as assigned
Qualifications & Experience...
- Previous experience in a similar role, as Personal Assistant or a Coordinator position and/or a background from being an Office Manager
- Experienced coordinator, delivering excellent service
- Diligent, accurate, with an eye for detail
- Proactive and can prioritize and re-prioritize (time management), in a dynamic environment
- Comfortable working autonomously and thrive from making things happen, being solution-oriented and positive
- Consistently operates within the highest level of confidentiality
- Good knowledge in English and the local language
- Proficient with Google and Microsoft suites, and corporate applications such as Concur, SAP and alike
- Experience in a fast-paced technologically advanced industry such as Media, Telecoms or Technology would be an advantage
