Job Description

  • Responsible for the activities of outsourced vendors in the delivery of all required workplace services This includes but is not limited to overseeing all maintenance services such as janitorial specialty cleaning kitchen food and beverage services and various vendors

Manage annual Purchase Order process for East Coast Facilities prepare

  • summary spreadsheets verifying spreadsheets for accuracy submit to Area FMs and Director for approval working with corporate purchasing to ensure

  • completion of PO assignment process

  • Function as a liaison to the Purchasing and AP Departments and assist real estate and facilities employees in resolving issues

  • Submit requisitions monitor and maintain all Purchase Orders 

  • Prepare quarterly PO report and submit to Facilities Manager

  • Run monthly purchasing reports to identify any outstanding actions such as items not received in the system overbilled POs etc and provide reports to Atlanta Facility Manager

  • Attend Purchasing QBRs for national vendors provide update to Area Facility Managers regarding meeting outcome

  • Assist in with vendor evaluations and price comparisons submit recommendations

  • Participate in various staff conference calls as required

  • Provide group level training as needed internal applications or other new online tools

  • Interface with Procurement and Sourcing contracts manager regarding best practices

  • Maintain work activity log including to do list and tasks accomplished review weekly with manager

  • Partner with Ergonomic assessment team and place orders

  • Aid with facilities related tasks as directed by the Facilities Manager including but not limited to coverage for staff vacations absences etc

  • Coordinate and organize conference calls training sessions for East Coast real estate and facilities employees

  • Participate as member of ERT Emergency Response Team and Safety Ambassador initiative

  • Back up to East Coast Facilities team members for PTO and absences as needed

  • Provide and verify updated quarterly asset ledger listing to management team

  • Establish maintenance contracts to ensure such services are performed at the contracted time term and conditions Ensure established service levels are met or exceeded while keeping in mind the needs of Visa staff

  • Communicate and partner as needed with landlord property management

  • Provide general and overall facilities services including continuous monitoring of office facility

  • Address client inquiries requests concerns ensuring timely quality resolution service delivery and customer satisfaction

  • Partner with Facility Management teams for effective facilities and space planning programs for the office

  • Partner and collaborate with cross functional organizations and stakeholders to deliver on the support objectives of the Global Corporate Services Team

  • Assists in new vendor set up obtaining proposals RFP’s and contract preparations

  • Assist in annual budget preparation and tracking monthly opex actuals

  • General knowledge and back up assistance in FM systems for East Coast Facilities Nuvolo Ask Facilities Condeco Concur Expense and Ariba

  • Assist in the coordination and execution of special events office events volunteering events office tours

  • Perform other related duties as needed by Facilities Manager and Corporate Services team

  • This is position is 100% onsite.  The ideal candidate is expected to be onsite 5 days a week, between the hours of 8 am - 5 pm.

    Qualifications

    Basic Qualifications
    Must have a High School diploma or equivalent or relevant work experience

    Preferred Qualifications

    • 1 or more years of work experience
    • Preferred or 3 to 5 years corporate work experience
    • Customer focus develop and manage client relationships
    • Demonstrate the ability to exercise good judgement on behalf of the company
    • Detail Oriented
    • Strong organizational and time management skills
    • Exceptional interpersonal communication skills
    • Collaborate effectively with cross functional organizations and stakeholders to deliver on objectives in support of the facility manager
    • Ability to work under pressure sometime in ambiguous situations
    • Team and results Orientated
    • Preferred Qualifications
    • Strong and highly effective verbal and written communication skills
    • Ability to work in a fluid environment where assignments change daily and are time sensitive
    • Experience in space planning and execution
    • Strong computer skills with working knowledge of Microsoft office products
    • Procurement processes experience
    • Must be able to lift or move 50 pounds
    • Ability to stand for long periods of time daily space walk throughs event set ups moving of chairs and tables
    • Strong customer service and problem solving skills

    Additional Information

    Work Hours: Varies upon the needs of the department.

    Travel Requirements: This position requires travel 5-10% of the time.

    Mental/Physical Requirements: This position will be performed in an office setting.  The position will require the incumbent to sit and stand at a desk, communicate in person and by telephone, frequently operate standard office equipment, such as telephones and computers.

    U.S. APPLICANTS ONLY: The estimated salary range for a new hire into this position is 48,800.00 to 67,100.00 USD per year, which may include potential sales incentive payments (if applicable). Salary may vary depending on job-related factors which may include knowledge, skills, experience, and location. In addition, this position may be eligible for bonus and equity. Visa has a comprehensive benefits package for which this position may be eligible that includes Medical, Dental, Vision, 401 (k), FSA/HSA, Life Insurance, Paid Time Off, and Wellness Program.
