The Facilities Coordinator is responsible for the management of facility services and processes that support the core business in both the Toronto and Vancouver offices. Ensure the associates' environment meet the Broadridge security as well as health & safety standards. Work with the landlord, corporation offices, associates and trade contractors.
Key Job Functions/Responsibilities
Help Desk/Reception
- Answer calls/tickets at the Facilities Help Desk
- Receive and refer visitors
- Remediation of day-to-day facility issues in Toronto/Vancouver, with assistance of Staff in Vancouver
- Contact vendors/contractors as necessary
- Primary contact with the landlord at the Toronto Location
- Representation for security system within the Toronto Office

- Obtain proposals for contract and subcontracted work from vendors/contractors as necessary
- Process Receipts & Invoices
- Assist contractors in resolving any payment issues
- Maintain Certificates of Insurance for Facilities Vendors
- Create & Maintain signage & nameplates
- Schedule & coordinate internal & external meeting requests
- Prepare & distribute correspondence as necessary
- Schedule & maintain critical building maintenance appointments and calendar
- Annually update emergency contact sheet for Toronto & Vancouver Offices
- Gather quotes for annual budget plans
- Track unplanned unbudgeted expenses
- Support Corporate Facilities initiatives
- Set up new vendors
- Follow requisition workflow using Oracle Fusion to procure Purchase Orders
- Order supplies as necessary
Education:
- University Degree and/or College Diploma in a related discipline
- 5+ Years administrative experience
- 2-3 Years of Facilities experience
- Proficient in Microsoft Suite (Outlook, Word, Excel, PowerPoint) and internet
- AutoCAD & Oracle experience an asset
- Exemplary Organizational skills
- Ability to prioritize
