What You'll Bring:
- Minimum of 8+ years of general administrative experience, with at least 5+ years of experience providing administrative support to C-level RPs.
- Advanced knowledge of Outlook, Teams, Zoom, Word, PowerPoint and Excel required.
- Strong organizational, communication and follow-up skills, with attention to detail required.
- Composition skills, a mathematical aptitude and report compilation experience needed.
- Must be able to interact with on-site and remote staff members and build effective relationships.
- Quick adaptation to change and experience in an extremely fast-paced environment is a must.
- Independent judgment, the ability perform role in the absence of a manager, a professional demeanor, along with ability to deal with matters in a confidential manner required.
- Ability to toggle between time zones to join meetings or respond to email correspondence outside of normal working hours.
- High School Diploma or equivalent required, Bachelor's degree preferred.
The Executive Administrative Assistant provides professional complex administrative and advanced support services for the Canada Regional President (RP), under minimal supervision. The incumbent additionally oversees two or more administrative assistants who make up the senior leadership support team. Acts as the primary liaison between the president and his in-country reports, executive peers, organizations, vendors, consultants and other internal and external contacts. Utilizes knowledge of corporate operations, company policy, the organization, employees, managers, and services to assist the RP, and in navigating complex environment. Supports the RP in problem solving, project planning/management and development and execution of stated goals and objectives. Prepares and maintains budget records, and prepares reports, and oversees the operation of accounts and approved expenditures. The functional responsibility providing direction to other administrative staff, includes oversight for reception in the two regional offices, and liaising with Facilities and Operations functions to facilitate access and couriers.
This position has access to and regularly works with information of a sensitive and highly confidential nature, necessitating discretion, sound judgement and professional conduct at all times. The scope and complexity of this position is such that the Executive Administrative Assistant is regularly dealing with diverse matters that require robust knowledge of RP's area of responsibility.
Key Responsibilities:
- Ensures most efficient use of RP's time, prioritizes daily workflow and contacts for the RP.
- Anticipates and prepares daily schedule of RP's meetings and priorities. Schedules appointments without prior clearance.
- Arranges complex and detailed travel plans and itineraries, compile documents for travel-related meetings.
- Prepares weekly expense reports and reconciles corporate credit card account(s).
- Initiates, establishes and communicates department meetings on behalf of RP. Prepares agenda. Ensures meetings progress according to schedule. Follows up on meeting action items.
- Collects and prepares information for use in discussions/meetings of RP's staff and outside individuals. Organizes, prioritizes and summarizes the content of incoming materials, specially gathered information, special requests and meetings. Follow up with management staff on completion/status of projects assigned by the RP.
- Anticipates, prepares and compiles materials for conferences and meetings on own initiative. Handle details of a highly confidential and critical nature.
- Responsible for initiating, preparing, coordinating and following-up on administrative/operational duties associated with RP's area of responsibility. Has functional responsibility for providing direction to the administrative staff.
- Reviews material for manager approval for typographical accuracy, format, conformance with procedures, internal consistency and ensures proper approvals have been obtained before releasing correspondence.
- Prepares special or one-time reports, summarizes or replies to inquiries, selecting relevant information from a variety of sources such as reports, documents, correspondence or other departments.
- In RP's absence, coordinates the timely communication of requests, issues, complaints, problems, and other action items to the appropriate manager.
- Organizes, prepares and reviews departmental administrative and Management reports.
- Prepares reports for presentation to the senior/ executive management
- Gathers, prepares, reviews and maintains documents relating to department budget and staff administration.
- Gathers and analyzes relevant data from a variety of sources, such as system generated printouts, LAN and/or computer systems and researches data, as necessary, for report preparation.
- Participates in special interest groups such as the social committee and supports local corporate philanthropic initiatives, in conjunction with local associate membership and enterprise-level coordination.
- Performs other related duties as assigned.
