Location/Division Specific Information

US - Hillsboro, OR - Remote.

Discover Impactful Work:

Team members are responsible for handling customer inquiries and requests related to order processing. They manage everything from receiving the customer's purchase order to coordinating shipment, invoicing, and installation preparations. This role involves being the main point of contact for customers, sales, finance, factory, and operations.

A Day in the Life:

  • Support Account managers with updates in CRM (Microsoft Dynamics 365) on the Opportunity and Quote tabs, including changes to reservations, requested delivery dates, and configuring component part numbers. Includes generation and approval of FOC orders
  • Work with Customers and Account Managers for new Customer set up
  • Upon receipt of Purchase Order, review and clarify all aspects of a transaction in close cooperation with Sales, Agents, Finance, Legal and other relevant teams. Ensure PO and Thermo Fisher's last Proposal match and initiate corrective actions when applicable.
  • Update CRM upon PO receipt; ensure that Factory Order Desks are informed in time to meet requested shipping dates. Complete all CRM data fields in Opportunities; Quote and Order Acceptance to complete the order.
  • Handle day to day customer concerns within the team and report any risks to management.
  • Complete SSOC reporting standards within requested timescales. Keep customer records updated and aligned with SSOC policy for review by auditors.
  • Build and maintain all relevant order data in automation systems/tools (QAD MFG; SharePoint; Cora Sequence). This includes invoicing all agreed billing terms.
  • Manage communication with Customers/Agents. Acknowledge order and inform involved parties on shipment planning and monitor anticipated revenue.
  • Ensure SOX, Legal and ISO compliance; cooperate with any internal / external audit requests.
  • Acquire competence on trade compliance aspects such as End Use Certificates (EUC); Incoterms; local import regulations/duties.
  • Collaborate with Product groups to ensure accurate creation and acceptance of Non Standard Requests (NSR's); (Local) External Technologies (X-Tech) Requests and resolve configuration issues.
  • Ensure all released processes and procedures are implemented and respected. Provide suggestions to supervisor or other staff for improvements in processes, efficiency and cost control.
  • Manage orders with vendors if line item is categorized as a Local X-Tech item. Ensure on time delivery to align with revenue recognition guidelines. Work with suppliers to acquire refreshed quotes as needed.
  • Act as liaison with Accounts Receivable to resolve billing issues, ensure credit notes are validated and accurately processed, ensure team maintains records regarding customer returns, deliveries, changes, pricing, and return credit problems, etc.
  • Represent Thermo Fisher SSOC during meetings, conference calls with Sales, Customers, and external parties such as Forwarders.
  • Take an active role during project assignments.
  • Act as back-up for other team members on sales operations.

Keys to Success:

Education

  • Bachelor's degree preferred.
  • High School Diploma required.

Experience

  • 3 yrs min. proven experience preferred

Knowledge, Skills, Abilities

  • Knowledge of QAD and/or Microsoft Dynamics 365 is highly desirable.
  • Demonstrated ability to work on problems of a moderate scope, analyzing the situation and reviewing a variety of factors. You will be empowered to use your judgement within existing procedures to determine appropriate action, with the authority to act within defined policies and practices.
  • Excellent written and verbal communication are vital, as we work closely with many different teams across the Americas region and Europe. Attention to detail and proactive follow through are critical to success in this position.

Physical Requirements / Work Environment

This position is fully remote. You will need to have a quiet work environment where you are able to focus and take confidential meetings and phone calls.
