Summarized Purpose

Provides senior-level administrative support for multiple leaders (VP+ and above), effectively managing the day-to-day administrative functions including planning, organizing and scheduling.

This role will specifically support our Commercial team. This is a remote opportunity for candidates located on the East Coast of the United States.

Essential Functions

  • Composes, copies and distributes correspondence and memoranda, reports, documents, forms and tables as requested
  • Inventories, orders and distributes office supplies
  • Sorts and distributes incoming mail, correspondence and other printed material
  • Maintains calendar of the manager and ensures the manager remains on schedule and properly prioritized throughout the day given the changing business requirements
  • Arranges travel schedule and reservations and prepares expense reports and ensures submission in a timely fashion
  • Coordinates details of onsite and offsite meetings and conferences including catering needs Collects, compiles and prepares presentations, reports, meetings agendas and other documents; establishes, organizes and maintains files.
  • Cooperates and coordinates with administrative assistants in other departments to handle temporary work overloads and fill in for temporary absences.
  • May supervise or lead other administrative support staff.

Education and Experience

  • High school/secondary school graduate or professional certification
  • Previous administrative experience (comparable to 3-6 years)
  • Or, an equivalent combination of education, training and experience that provides the knowledge, skills and abilities to perform the job
  • Years of experience refers to typical years of related experience needed to gain the required knowledge, skills, and abilities necessary to perform the essential functions of the job. Years of experience are not to be used as the only determining factor in establishing the job class or making employment selection decisions.

  • Ability to lead and provide task assignments and direction to other administrative or clerical personnel.

Physical Requirements:

  • Frequently stationary for 4-6 hours per day. Repetitive hand movement of both hands with the ability to make fast, simple, repeated movements of the fingers, hands, and wrists.
  • Occasional mobility required.
  • Occasional crouching, stooping, bending and twisting of upper body and neck.
  • Light to moderate lifting and carrying (or otherwise moves) objects including luggage and laptop computer with a maximum lift of 15-20 lbs.
  • Ability to access and use a variety of computer software developed both in-house and off-the-shelf.
  • Ability to communicate information and ideas so others will understand; with the ability to listen to and understand information and ideas presented through spoken words and sentences.
  • May interact with others, relating and gathering sensitive information. Interaction includes diverse groups.
  • Works with guidance or reliance on oral or written instructions from management. May require periods of intense concentration.
  • Performs a wide range of variable tasks as dictated by variable demands and changing conditions with little predictability as to the occurrence. Ability to perform under stress. Ability to multi-task.
  • Regular and consistent attendance.

Salary Transparency

The salary range estimated for this position is $30-35/hr. This position will also be eligible to receive a variable annual bonus based on company, team, and/or individual performance results in accordance with company policy. Actual compensation will be confirmed in writing at the time of offer.
