About the Role

This is a non-presented administrative position. This Is a Port Authority position; it is NOT part of the PATH railroad Retirement System. This position reports to the Journal Square Transportation Center.

Responsibilities

Under the direct supervision of the Chief Negotiator, PATH, the successful candidate with be responsible for performing a variety of confidential administrative and secretarial duties including but not limited to:

  • Logging, managing, typing all correspondence .
  • Administering case files, including electronically
  • Scheduling and coordinating meetings/including using e-calendars and other technology
  • Handling travel arrangements and expense reimbursements
  • Screening, prioritizing and/or handling telephone and other inquiries to closure
  • Preparation of collective bargaining agreements
  • Preparing of visual presentations using PowerPoint and other applications.
  • Establishing and maintaining electronic files and databases, as well as effective follow up systems
  • Timekeeping
  • PATH New-Hire Orientation
  • This position will also be responsible for providing backup secretarial and administrative support for the PATH Director's Office
  • Carry out special projects as assigned

Minimum Qualifications

  • High School Diploma or Equivalent .
  • Demonstrated success in an administrative or secretarial role handling sensitive and confidential matters.
  • Demonstrated extensive knowledge and strong proficiency with Microsoft Office 365 suite of software products including Word, Excel, PowerPoint and Outlook.

Desired Qualifications

  • Thorough and comprehensive knowledge of Port Authority/PATH office practices and procedures related to staff and administrative functions
  • Excellent organizational skills with demonstrated ability to effectively adapt to shifting priorities, exercise independent judgement, prioritize work assignments, handle multiple tasks simultaneously and consistently meet tight deadlines under minimal supervision.
  • Demonstrated ability to take initiative, independently perform complex secretarial/administrative functions and exhibit a strong customer service demeanor in handling all responsibilities.
  • Excellent oral and interpersonal skills with demonstrated abilities to effectively interact with customers, external professionals and all levels of internal staff.
  • Effective written communication skills with demonstrated ability to independently compose, edit, and proofread correspondence for supervisory signature.
  • Demonstrated knowledge and with software application including Livelink, PeopleSoft, SAP, or similar.
