The Seasonal Events Assistant will assist with the coordination and execution of author programming for the Festival of Books, managing logistics for both indoor panels and outdoor stage events. This role also provides additional support for the L.A. Times Book Prizes, ensuring seamless event operations.
Responsibilities:
- Advise on panel topics and assist with the recruitment of participants, maintaining communication with authors regarding paperwork, schedules, travel arrangements, and other event logistics. Responsibilities include data entry, tracking, and follow-up for author materials, conducting programming research, and updating relevant systems (Airtable, Eventbrite, WordPress, FOB App), as well as managing timelines as assigned.
- Provide support for author and stage programming at the Festival of Books, including scheduling line-ups for Poetry, Children's, and Y/A stages. Ensure effective communication with talent and other stakeholders involved in these stages.
- Proofread author-related marketing materials across digital, print, and social platforms, track book submissions, facilitate programming mailings, and handle other author-related tasks as needed.
- Assist in the administration and planning of the L.A. Times Book Prizes, including managing Eventbrite RSVPs, assembling finalist materials, and supporting the execution of the on-site ceremony.
- Serve as on-site support during the Festival of Books, managing the author green room, overseeing author and VIP check-in, coordinating author dispatches, and responding to any author-related requests throughout the event.
- Other duties as assigned.
Requirements:
- 5 years of experience in publishing, bookstores, writing, or a related field.
- Strong familiarity with and passion for books and the book industry.
- Excellent writing, proofreading, and attention to detail are essential.
- Flexibility for extended hours, particularly as the event date approaches.
Preferred Qualifications:
- Bachelor's degree in Liberal Arts or an MFA is preferred.
- Prior event coordination experience is preferred.

The pay scale the Company reasonably expects to pay for this position at the time of the posting is $23.00 to $28.00 and takes into account a wide range of factors including but not limited to skill set, experience, training, licenses, certifications, and other business or organizational needs. Compensation will be determined based on the above factors along with the requirements of the position. At the L.A. Times Studios, LLC, it is not typical for an individual to be hired at or near the top of the range for the role.
