GENERAL STATEMENT OF DUTIES AND RESPONSIBILITIES
This position of Office Support Specialist II will assist the Special Events Department in administrative functions for coordinating agency-wide permitting for concerts, festivals, road races, walkathons, cultural events, company outings, charity events and other special recreational events and programs across the Massachusetts parks system. The position will also work with and support the functions of the Business Management Specialist for the Division of Policy, Public Affairs and Administration.

In addition, the Office Support Specialist II will assist in helping to rectify cost transmittals through the Accela EIPAS database as well as invoices for all vendors thru the MMARS database. This position will also assist with the HR /Mass Career duties.
DETAILED STATEMENT OF DUTIES AND RESPONSIBILITIES
- Provide administrative support to Special Events Department
- Provide initial response to agency staff and constituent inquiries and direct to appropriate staff.
- Assists with processing special event applications and permits.
- Assists with processing and tracking of DCR staffing costs.
- Work regular scheduled Monday-Friday work hours (hybrid).
- Opportunity to work on site to assist with events during various hours and days of the week or weekends depending on the schedule of events.
- Create reports and/or spreadsheets for Special Events as requested.
QUALIFICATIONS REQUIRED AT HIRE
1. Ability to communicate effectively.
2. Ability to write concisely, express thoughts clearly and develop ideas in a logical sequence.
3. Ability to use proper grammar, punctuation, and spelling.
4. Ability to make recommendations.
5. Ability to multi-task and prioritize.
6. Ability to prepare documents and reports accurately.
7. Ability to assist customers of diverse backgrounds.
8. Ability to follow guidelines and procedures.
9. Knowledge of software applications such as Outlook, Teams, Microsoft and Excel.
10. Ability to work independently and in teams.
11. Organizational skills.
QUALIFICATIONS ACQUIRED ON JOB
1. Knowledge of the laws, rules, regulations, policies, procedures, specifications, standards and guidelines
governing assigned agency or unit activities.
2. Knowledge of the types and uses of agency databases, documents and files.
3. Knowledge of the Accela EIPAS Database, nCourt Database and MassCareers.
Qualifications
First consideration will be given to those applicants that apply within the first 14 days.
Applicants must have at least (A) three years of full-time, or equivalent part-time, experience in administrative work experience or (B) any equivalent combination of the required experience and the substitutions below:
Substitutions:
I. An Associate's or higher degree with a major in business administration, business management or public administration may be substituted for a maximum of two years of the required experience.
II. An Associate's or higher degree with a major other than in business administration, business management or public administration may be substituted for a maximum of one year of the required experience.
Education toward such a degree will be prorated on the basis of the proportion of the requirements actually completed.
Educational substitutions will only be permitted for a maximum of two years of the required experience.
