Job Description
The Veterans Home at Holyoke is seeking an engaging, detail-oriented and highly organized individual to join the Veterans Home in Holyoke as a Ward Clerk. This is a full-time position providing compassionate, Veteran-focused, superior customer service; all while contributing towards our mission of providing Care with Honor and Dignity to our state's Veterans and their loved ones.
Duties and Responsibilities (these duties are a general summary and not all inclusive):
- Maintain and update files/records of Veteran residents to include services received, personnel information, supply inventories, and equipment repairs.
- Maintain format of medical records per the Home's guidelines, which includes keeping the nursing staff informed of lab work, tests received, and appointment dates.
- Assist with admitting, discharging and transferring Veterans by communicating with involved parties and departments.
- Schedule and/or refer Veterans to appropriate medical services, lab tests, clinic visits, appointments, etc., as directed.
- Receive and distribute mail, message, and information (including information that is sensitive in nature).
- Receive and direct visitors, answer and screen telephone calls, provide information as needed.
- File and retrieve materials such as correspondence, reports, applications, etc. in accordance with prescribed system.

Schedule:
- This is a full-time position working 7:00 am - 3:00 pm, Monday through Friday
Required Qualifications:
- Effective verbal and written communication skills.
- Ability to maintain accurate records.
- Ability to work well in a team environment.
Preferred Qualifications:
- Excellent time management skills; ability to prioritize and multi-task.
- Resourcefulness; ability to get tasks done through creative thinking, multi-tasking and exploring options.
- Knowledge of medical terminology.

Qualifications
First consideration will be given to those applicants that apply within the first 14 days.
Applicants must have at least (A) two years of full-time, or equivalent part-time, experience in office work, or (B) an equivalent combination of the required experience and the substitutions below:
I. A diploma as evidence of graduation from the commercial or business course of a recognized high school or vocational/technical high school may be substituted for a maximum of one year of the required experience. *
II. A diploma as evidence of graduation from a course other than the commercial or business course of a recognized high school or vocational/technical high school or possession of a Massachusetts high school equivalency certificate may be substituted for a maximum of eight months of the required experience. *
III. A diploma for completion of a one year, full-time, or equivalent part-time, program in a recognized, non-degree granting business or secretarial school above the high school level may be substituted for a maximum or one year of the required experience. *
IV. A diploma for completion of a two-year, full-time, or equivalent part-time, program in a recognized, non-degree granting business or secretarial school above the high school level may be substituted for the required experience.*
* Education toward such a degree or diploma will be prorated on the basis of the proportion of the requirements actually completed.
