Job Description
Tewksbury Hospital under the Department of Public Health (DPH), a 370 bed Joint Commission accredited hospital, is currently hiring for the position of Unit Clerk III - Patient Care Unit D2. The hospital provides a broad treatment of care and comfort to adults with medical and/or mental illnesses.
The Unit Clerk performs clerical support functions on the nursing units under the direction/supervision of the Nurse Manager. Duties include answering telephones, taking messages, transcribing clinician orders, ordering supplies, requesting repairs on unit, maintaining patient charts, arrange medical appointments for patients, distribute mail, courier, receptionist, maintain customer service focus, etc. Performs related duties as assigned.

Please Note: This position is 37.5 hours per week; Monday through Friday, from 7:30am - 3:30pm.
Duties and Responsibilities (list not all inclusive):
- Answers telephones, transferring calls, taking messages, and answering questions to facilitate communications in all areas.
- Makes photocopies, faxes documents, and utilizes computer as required to maximize time utilization.
- Completes A/D/T assignments in an accurate and timely manner.
- Accurately transcribes all M.D. and N.P. orders to appropriate areas of the Medical Record.
- Types correspondence, memoranda and meeting notes as required to promote organization and communication.
- Receives and distributes incoming mail to facilitate effective communication and organization.
- Participates in maintaining a safe environment be requesting repairs for unsafe conditions, completing work orders and advising supervisory staff.
- Assists in emergency situations by placing telephone calls as directed to insure immediate response and maintain a safe working environment.
- Maintains patient charts, filing documents promptly in an orderly filing system to facilitate agency compliance with established regulations.
- Retrieves records, correspondence, etc. from charts/files for copying and communication purposes.
- Completes record review analysis form at time of discharge to insure record completeness
- Arranges for clinical and medical appointments as ordered, coordinating transportation and staff escorts with nursing staff to facilitate delivery of appropriate treatment.
- Operates standard office equipment.
- Reviews forms, lists, documents and/or correspondence for accuracy and completeness.
- Maintains adequate supply of forms for unit and keeps them filed allowing accessibility.
- Actively participates in the Continuous Quality Improvement process at the unit and hospital wide level to improve the quality of care.
- Maintains customer service focus in all communications.
- Compliance with all applicable state and federal laws including the Health Insurance Portability and Accountability Act (HIPAA) regulations which govern the privacy and confidentiality of information about patients.
- Perform other job-related duties when requested to ensure smooth daily operation of the unit/department.
Required Qualifications:
- Proficient with MS Office products (Excel, Word, Outlook, etc.)
- Capacity to maintain accurate records and exercise discretion in handling confidential information.
- Ability to read, write and comprehend the English language.
Preferred Qualifications:
- Strong organizational, communication and customer service skills.
- Effective verbal and written communication skills, with the ability to collaborate in a team setting.

Qualifications
First consideration will be given to those applicants that apply within the first 14 days.
Applicants must have at least (A) two years of full-time, or equivalent part-time, experience in office work, or (B) an equivalent combination of the required experience and the substitutions below:
I. A diploma as evidence of graduation from the commercial or business course of a recognized high school or vocational/technical high school may be substituted for a maximum of one year of the required experience. *
II. A diploma as evidence of graduation from a course other than the commercial or business course of a recognized high school or vocational/technical high school or possession of a Massachusetts high school equivalency certificate may be substituted for a maximum of eight months of the required experience. *
III. A diploma for completion of a one year, full-time, or equivalent part-time, program in a recognized, non-degree granting business or secretarial school above the high school level may be substituted for a maximum or one year of the required experience. *
IV. A diploma for completion of a two-year, full-time, or equivalent part-time, program in a recognized, non-degree granting business or secretarial school above the high school level may be substituted for the required experience.
Education toward such a degree or diploma will be prorated on the basis of the proportion of the requirements actually completed.
Salary placement is determined by a combination of factors, including the candidate's years of directly related experience and education, and alignment with our internal compensation structure as set forth by the Human Resources Division's Hiring Guidelines. For all bargaining unit positions (non-management), compensation is subject to the salary provisions outlined in the applicable collective bargaining agreement and will apply to placement within the appropriate salary range
