Job Description

The Department of Children and Families (DCF) is seeking a mission-driven, experienced administrative assistant to fill the role of Redactor - Northern Region. The selected candidate will be responsible for case redaction activities that may take place at either the regional or area office.

Duties and Responsibilities (these duties are a general summary and not all Inclusive):

  • Direct redaction responsibility of confidential consumer records.
  • May be required to transport case files to and from the regional and area offices.
  • Responsible for preparing the redacted case record for management signature and distribution.

  • Knowledge of clerical office practices and procedures including office filing, typing and uses of office equipment and supplies, business letter and report preparation, etc.
  • Capacity to maintain systems to facilitate workflow; demonstrated skills prioritizing and organizing workload.
  • Demonstrated ability to work independently with detailed assignments.
  • Capability to work on and prioritize multiple projects simultaneously and meet tight deadlines in fast-paced environment.
  • Ability to recognize when it is appropriate to consult with social worker, supervisor, legal counsel or management.
  • Demonstrated ability to maintain confidentiality.
  • Ability to establish timelines, work plans and follow through on assignments.
  • Ability to establish systems to support the timely completion of assigned work.
  • Demonstrated ability to utilize Word, Excel, Access, FamilyNet System.
  • Demonstrated ability to work with diverse populations.
  • A current and valid Massachusetts Class D Motor Vehicle Operator's license or the equivalent from another state may be required.

Qualifications

First consideration will be given to those applicants that apply within the first 14 days.

Minimum Entrance Requirements:

Applicants must have at least (A) four years of full-time, or equivalent part-time, experience in office work, of which (B) at least one year must have been in a supervisory or administrative capacity, or (C) and equivalent combination of the required experience and the substitutions below:

I. A diploma as evidence of graduation from the commercial or business course of a recognized high school or vocational/technical high school may be substituted for a maximum of one year of the required experience. *

II. A diploma as evidence of graduation from a course other than the commercial or business course of a recognized high school or vocational/technical high school or possession of a Massachusetts high school equivalency certificate may be substituted for a maximum of eight months of the required experience. *

III. A diploma for completion of a one year, full-time, or equivalent part-time, program in a recognized, non-degree granting business or secretarial school above the high school level may be substituted for a maximum or one year of the required experience.

IV. A diploma for completion of a two-year, full-time, or equivalent part-time, program in a recognized, non-degree granting business or secretarial school above the high school level may be substituted for two years of the required experience. *

Education toward such a degree or diploma will be prorated on the basis of the proportion of the requirements actually completed.

Salary placement is determined by a combination of factors, including the candidate's years of directly related experience and education, and alignment with our internal compensation structure as set forth by the Human Resources Division's Hiring Guidelines. For all bargaining unit positions (non-management), compensation is subject to the salary provisions outlined in the applicable collective bargaining agreement and will apply to placement within the appropriate salary range.
