Job Description

The Massachusetts State Police Crime Laboratory (MSPCL) is seeking a Program Coordinator II who will be assigned to the Case Management Unit.

Duties will include, but are not limited to:

  • Coordinate and monitor staff training and orientation programs in the Case Management Unit relating to administrative functions of case clearance and activation, file retrieval from both on-site and off-site third-party vendors and fulfilling and reviewing records requests.
  • Oversee and organize trainings for all crime laboratory staff regarding Case Management Unit functions.
  • Provide assistance and trainings, both on and off-site, to external agencies regarding records requests.
  • Develop and implement case management related protocols and procedures as needed to assist with agency program objectives and goals.
  • Maintain case file organization and create file transport assignments as needed.
  • Review and analyze off-site file storage inventory to maintain accurate records and ensure efficient file retrieval.
  • Monitor on-site case file storage areas to make recommendations for annual off-site storage transfers and assist with the budget for off-site storage vendors to meet the laboratory's needs.
  • Travel to laboratory locations as needed to monitor file storage areas, retrieve files and/or assist staff.
  • Coordinate with laboratory supervisors and management regarding resources for case record storage and requests.
  • Assist with organizing and monitoring the digitalization of crime laboratory records.
  • Provide supervision to unit support staff by assigning duties as appropriate and ensuring tasks are completed in accordance with MSPCL policies and procedures.
  • Supervise preparation of record requests including coordinating with appropriate technical staff to obtain required materials, copying appropriate protocols and case files, and sending any/all appropriate materials in a timely fashion.
  • Liaison between the crime laboratory and prosecuting and investigating agencies to assist case activations, direct questions, provide discovery materials, and resolve problems in a timely manner.
  • Performs other duties as directed.

Qualifications

First consideration will be given to those applicants that apply within the first 14 days.

MINIMUM ENTRANCE REQUIREMENTS: Applicants must have at least (A) three years of full time, or equivalent part-time, professional, administrative or managerial experience in business administration, business management or public administration the major duties of which involved program management, program administration, program coordination, program planning and/or program analysis, or (B) any equivalent combination of the required experience and the substitutions below.

Substitutions:

I. A Bachelor's degree with a major in business administration, business management or public administration may be substituted for a maximum of two years of the-required experience.

II. A Graduate degree with a major in business administration, business management or public administration may be substituted for the required experience.


III. A Bachelor's or higher degree with a major other than in business administration, business management or public administration may be substituted for a maximum of one year of the required experience.

Education toward such a degree will be prorated on the basis of the proportion of the requirements actually completed.
