Job Description
DUTIES:
Provides administrative assistance and support to the Executive Director of Administrative Services and the five Administrative Services divisions. This includes but is not limited to answering phones, processes incoming/outgoing mail, as well as collecting mail from various locations; sorts, routes and distributes materials to ensure prompt delivery. Maintains accurate filing system. Composes and prepares correspondence, forms, and reports, including those of a confidential nature. Assist with maintaining the schedule of the Executive Director and Directors within the division. Schedules various meetings, records/types/distributes various meeting minutes. Handles the Travel Authorization Forms (TAF) process for the Department of Correction. Provides direct supervision to assigned staff within the division. Maintains Administrative Services staff attendance, supply inventory, and reserves conference room requests. Web Editor for the Administrative Services Intranet page. Works in collaboration with various divisions; as well as providing back-up coverage to the Executive Assistant in the Deputy Commissioner of Administration's office with the following tasks: processes Inmate Benefit/Employee Benefit funds authorization forms (IBF/EBF); processes highly confidential Legal judgments/settlements. Act in a confidential manner on all issues relating to the business of the Department of Correction. Performs other duties as assigned.

Special Requirements:
Based on assignment, possession of a current and valid Massachusetts Class 3 Motor Vehicle Operator's license may be required.
PREFERRED QUALIFICATIONS:
Knowledge of the methods used in preparation of charts, graphs and tables, Knowledge of the types and uses of general office equipment. The ability to understand, explain and apply the laws, rules, regulations, policies, procedures, specifications, standards and guidelines governing assigned unit activities. Ability to exercise discretion in handling confidential information.
Comments:
This is a Civil Service position. Please note that salaries for union positions are determined according to the provisions of the respective collective bargaining agreement. Applicants must have no felony convictions, to include any actions defined in 5 U.S.C. 301; U.S.C. 509, 510; 42 U.S.C. 15601-15609. The Massachusetts Department of Correction shall not hire anyone who may have direct contact with offenders, who has engaged in sexual abuse in a prison or other institution as defined in 42 U.S.C. 1997; or has been convicted of engaging or attempting to engage in sexual activity in the community facilitated by force, overt or implied threats of force or coercion, or if the victim did not consent or was unable to consent or refuse, or has been civilly or administratively adjudicated to have engaged in the activity described in the above paragraph. The agency shall consider any incidents of sexual harassment in determining whether to hire anyone who may have contact with offenders or residents. The DOC urges bilingual applicants to apply.
Qualifications

MINIMUM ENTRANCE REQUIREMENTS: Applicants must have at least (A) three years of full time, or equivalent part-time, professional, administrative or managerial experience in business administration, business management or public administration the major duties of which involved program management, program administration, program coordination, program planning and/or program analysis, or (B) any equivalent combination of the required experience and the substitutions below.
Substitutions:
I. A Bachelor's degree with a major in business administration, business management or public administration may be substituted for a maximum of two years of the-required experience.
II. A Graduate degree with a major in business administration, business management or public administration may be substituted for the required experience.
III. A Bachelor's or higher degree with a major other than in business administration, business management or public administration may be substituted for a maximum of one year of the required experience.
Education toward such a degree will be prorated on the basis of the proportion of the requirements actually completed.
