The Department of Developmental Services (DDS) has an excellent career opportunity for a highly motivated individual for an Office Support Specialist I position. This position supports the administrative functions and needs of the Area Director, Assistant Area Director and Service Coordinator Supervisors.
Job Responsibilities: The duties and responsibilities stated are general summary and not all inclusive.
- Assist with area office contracting tasks as defined by area office management.
- Maintain various tracking sheets using excel.
- Ability to learn computer-based programs to generate Plan of Care documents in HCSIS.
- Complete service enrollments in Meditech.
- Maintain established tracking spreadsheets.
- Operate standard office machines, troubleshoot system issues.
- Schedule vendor and Citizen Advisory Board meetings.
- Update excel sheets and review for discrepancies.
- Run reports as requested by management.
- Assist Area Director and Citizens Advisory Board with coordination of recognition breakfast.
- Act as point of contact for office management/building concerns.
- Act as one of several administrators for space reservation system.
- Back up phones / reception / office duties for Clerk position as needed.
- Maintain Area Office personnel files and track completed EPRS forms.

Preferred Qualifications:
- Proficient with Microsoft Office Suite, specifically Excel/Outlook/Word.
- Excellent organizational and communication skills.
- Strong written and verbal communication skills with an aptitude for use of proper grammar, punctuation, and spelling.
- Knowledge of clerical office practices and procedures including recordkeeping, office correspondence control, typing and use of office equipment, supplies and business preparation.
- Skilled in use of operating general office machines and equipment.
Agency Requirements:
- Must be at least eighteen (18) years of age.
Please Note:
This position is located at the Cape and Islands Area Office in South Yarmouth, MA.
Schedule Information:
Full-time - 37.5-hour weekly position
Schedule - Monday through Friday from 9:00 a.m. - 5:00 p.m.
Days off - Saturday and Sunday
Flexibility required to meet the needs of the area office.

Qualifications

Office Support Specialist I:
Applicants must have at least (A) two years of full-time, or equivalent part-time, experience in administrative work experience or (B) any equivalent combination of the required experience and the substitutions below:
Substitutions:
I. An Associate's or higher degree with a major in business administration, business management or public administration may be substituted for the required experience.
II. An Associate's or higher degree with a major other than in business administration, business management or public administration may be substituted for a maximum of one year of the required experience.
Education toward such a degree will be prorated on the basis of the proportion of the requirements actually completed.
Educational substitutions will only be permitted for a maximum of two years of the required experience.
Salary placement is determined by a combination of factors, including the candidate's years of directly related experience and education, and alignment with our internal compensation structure as set forth by the Human Resources Division's Hiring Guidelines. For all bargaining unit positions (non-management), compensation is subject to the salary provisions outlined in the applicable collective bargaining agreement and will apply to placement within the appropriate salary range .
