Job Description

The state operated Veterans Home at Chelsea is an independent state agency consisting of long-term care and a domiciliary which are independent living quarters for our veterans. The care and services provided by the Veterans Homes are supported by an extraordinary group of staff working to meet the needs of our veterans. The ideal incumbent's role as a Clerk III will be to perform clerical duties for residents while maintaining strict confidentiality.

DUTIES AND RESPONSIBILITIES;

  1. Maintains upkeep of medical charts and resident records.
  2. Schedule resident medical services, including laboratory testing, clinic visits, etc.
  3. Assists with admitting, discharging, and transferring of residents by communicating with all involved parties.
  4. Receives and distributes mail, messages and information to residents and staff.
  5. Greets and receives visitors, responds to inquiries by assessing needs; providing appropriate updates refers and directs individuals as appropriate
  6. Communicates effectively with and serves as an intermediary liaison to all appropriate individua
  7. Reports all issues and/or incidents involving patients, residents, equipment, environmental health, and safety hazards to the proper individuals consistent with agency policies and standards.
  8. Assess, priorities and coordinates day to day activities of the unit.
  9. Performs other clerical and administrative duties as required such as prepares minutes, maintain patient records updated with current information and in an organized manner.
  10. Maintains confidential employee files and records.
  11. Prepares and maintains requisitions, invoices, logs, tickler files, correspondence files, etc.
  12. Performs other related duties as needed.

QUALIFICATIONS REQURIED AT HIRE;
  1. Knowledge of the English language including spelling, grammar, punctuation, and sentence structure, etc.
  2. Ability to operate a typewriter and type 30 mailable words per minute.
  3. Knowledge of the types and application of standard office filing systems, and ability to maintain accurate records.
  4. Knowledge of clerical office practices and procedures including office record keeping, types and uses of office equipment and supplies and business letter format and preparation.
  5. Skills in operating general office machines and equipment such as copying machines, telephone systems, postage meters, beepers, and paging systems.
  6. Ability to exercise sound judgment and discretion in handling confidential information.
  7. Ability to understand and apply the laws, rules, policies, and procedures governing assigned unit activities
  8. Ability to establish and maintain harmonious working relationships and deal tactfully with others.
  9. Ability to operate specialized office machines or equipment such as computers.

QUALIFICATIONS ACQUIRED ON THE JOB;
  1. Knowledge of the laws, rules, policies, and procedures governing assigned unit activities.
  2. Knowledge of the types and uses of agency forms.
  3. Knowledge of the proper telephone procedures for making and receiving agency calls.
  4. Knowledge of the types and applications of standard office filing systems.
  5. Knowledge of clerical practices and procedures including office record keeping, office correspondence, the types and uses of office equipment and supplies and business letter preparation.
  6. Skills in operating general office equipment such as computer, fax machine, photocopiers.


Qualifications

First consideration will be given to those applicants that apply within the first 14 days.

Applicants must have at least (A) two years of full-time, or equivalent part-time, experience in office work, or (B) an equivalent combination of the required experience and the substitutions below:

I. A diploma as evidence of graduation from the commercial or business course of a recognized high school or vocational/technical high school may be substituted for a maximum of one year of the required experience. *

II. A diploma as evidence of graduation from a course other than the commercial or business course of a recognized high school or vocational/technical high school or possession of a Massachusetts high school equivalency certificate may be substituted for a maximum of eight months of the required experience. *

III. A diploma for completion of a one year, full-time, or equivalent part-time, program in a recognized, non-degree granting business or secretarial school above the high school level may be substituted for a maximum or one year of the required experience. *

IV. A diploma for completion of a two-year, full-time, or equivalent part-time, program in a recognized, non-degree granting business or secretarial school above the high school level may be substituted for the required experience.

Education toward such a degree or diploma will be prorated on the basis of the proportion of the requirements actually completed.
