Job Description:

If you're a highly organized Executive Assistant who can help provide excellent support to a senior executive and maintain smooth business operations through your strong administration skills, we want you to join our team! As an Executive Assistant to the Chief Financial Officer, TD Securities and Head of Corporate Development and Strategy, you'll provide dedicated, highly skilled, and diversified support confidentially on a wide range of administrative or general workplace support matters while providing service excellence and operational effectiveness.

Service Excellence:

  • Manage efficiently in a multi-tasked environment and ensure deadlines are met.
  • Apply appropriate due diligence ensuring accuracy in preparing and promptly completing all required supporting documentation (i.e., reports, presentations, invoices, correspondence/communications, tables, charts, files, etc. video conferencing etc.).
  • Consistently exercise discretion in managing correspondence, information, and all matters of confidentiality, escalate where appropriate.
  • Efficiently manage expectations/concerns through strong communication skills, both verbal and written.
  • Schedule and organize meetings, including preparation and co-ordination by booking the facility, pre-mail, arranging required equipment, refreshments, etc., as required.
  • Maintain proficiency with software applications/programs and/or department specific systems as required (i.e. MS Office, Word, PowerPoint, Excel, etc.).
  • Efficiently manage and promptly respond to all incoming enquiries/requests for information independently or re-direct to the appropriate person/area.
  • Assist departmental cost/expense management, including reporting, reconciliation, and forecasting.
  • Contribute fully to the business by leading, supporting, and managing annual event planning such as off-sites, town halls, employee appreciation and other ad hoc events such as conferences.

Operational Effectiveness:

  • Ensure the optimal level of customer service and professionalism is provided.
  • Provide accurate, organized, and efficient administrative support; collect and track data, research information, sort and distribute mail, schedule and organize meetings and travel, manage calendars, create and maintain files, and perform other executive administrative assignments as required.
  • Prioritize and manage own workflow to ensure quality and efficiency (i.e.meet deadlines; be flexible in adjusting to changing work priorities).
  • Use software programs and other tools or equipment with ease and efficiency and provide documents/ information that effectively support the needs of the team.
  • Take initiative to identify and recommend improvements in own job function, research and/or investigate issues requiring resolution in order to execute on assigned tasks.

Teamwork/Support:

  • Be an effective resource and flexible in adjusting to changing work priorities of the executive(s).
  • Participate fully as a member of a team supporting the executive(s) and contribute to a positive work environment.
  • Keep executive(s)/immediate team informed and up to date about the status/progress of projects, and all relevant or useful information related to day-to-day activities.
  • Support the executive team by continuously developing knowledge in own area.
  • Support the broader team for key programs such as Roadshows preparation including travel arrangement.

Education & Experience:

  • Associates degree and/or Bachelors degree or progressive work experience in addition to experience below
  • 5-7 Years of related experience
  • Knowledge and experience supporting in capital markets within an administrative and operations capacity - is a strong asset.
  • Exceptional clerical and administrative skills
  • Ability to work independently and within a team.
  • Proven organizational skills, with ability to keep others focused on task and efficient.
  • Excellent communication skills, both written and verbal with ability to work with all levels of the enterprise.
  • Demonstrated PC skills, including proficiency with spreadsheets, reporting tools and presentation software.

Depth & Scope:

  • Prepares edits and types a variety of confidential materials, reports, correspondence, and statistical tables
  • Answers telephone, screens calls, takes messages and receives visitors
  • Organizes mail and other executive paperwork, forwards to appropriate party and/or responds independently as appropriate calling attention to priorities
  • Establishes and maintains highly confidential files and records
  • Manages the office of a Senior Executive and requires comprehensive knowledge of executive operations, policies, practices and personnel
  • Coordinates and facilitates high-level executive functions with wide latitude for independent judgment
  • Schedules appointments and coordinates arrangements for meetings, conference and travel itineraries
  • Performs a variety of duties to conserve the time of the executive, such as keeping personal business bookkeeping records and other personal business items as directed
  • Demonstrates a high level of tact and discretion due to the frequency of high level internal and external contacts which requires a thorough understanding of executive's job and methods of work
  • Assists with numerous highly confidential functions including merger & acquisition early stage meetings and due diligence document organization
  • Compiles, formats, prepares and distributes Board of Directors and Committee meeting materials, minutes and records as well as participating in other Board activities such as Board website, or preparation of annual meeting documents
  • Communicates and coordinates with internal departments, community leaders, organizations, shareholders and high-level customers acting as a liaison between the President or Senior Executive in order to resolve issues and concerns and to relieve executive of administrative details
  • Researches information and assembles and prepares data and special reports, providing analysis and summaries (e.g. SEC research, merger & acquisition or Proxy activity)
  • Conducts projects as assigned such as coordinating regulatory exams
  • Analyzes complex information requests and determines appropriate action

The Executive Assistant TDS provides highly skilled, diversified, confidential, and administrative support of an executive nature to a senior executive of a Company division, performing complex and technical activities requiring considerable discretion and independent judgment. Works with persons at all levels of the company, as well as external organizations and customers and handles highly confidential materials. Facilitates management details and serves as an intermediary with important delegated administrative functions to relieve executives of administrative responsibilities and details. May supervise various offices administrative and support personnel. Coordinates and facilitates high-level executive functions with wide latitude for independent judgment. Assists with numerous highly confidential functions including merger & acquisition early stage meetings and due diligence document organization. Compiles, formats, prepares and distributes Board of Directors and Committee meeting materials, minutes and records.
