JOB SUMMARY

The Gilchrist & Soames Sales Administrator is the support liaison between the Sales team, Internal G&S Departments, and Customers. This role is responsible for developing, managing, and delivering support services for the organization's sales force. This highly visible role reports to the VP, Global Amenity Sales. Professional business acumen is required as there is constant interaction with customers and internal company leadership. Fiscal responsibility for managing customer and partnership rebates. Social activity chair and team motivation coordinator. File and efficient record-keeping skills are critical for the position. Superior time management is needed to keep sales organization nimble and effective.

RESPONSIBILITIES

DIVISION SALES ADMINISTRATION

  • Oversee Sales Activities to Build Improved Ways of Working.
  • Organize Schedules, MICROSOFT TEAM Files, Folders, and Time Management Activities.
  • Manage and Keep Record of Legal Contracts.
  • Coordinate and expedite all stages of customer sample requests utilizing ZFORD online order system.
  • Product Samples Lead: Ensure efficient Online Ordering and In-House Inventory Management in HQ Office.
  • Maintaining records: Managing customer and partner profile information, and maintaining the customer database.
  • Providing customer service: Assisting the sales team in handling customer questions, requests, and complaints.
  • Compiling reports: Organizing sales reports.
  • Assist with new product NPIF set-up planning to ensure the identification of appropriate manufacturing schedules, goals, design, criteria, and cost.
  • Provide a monthly global template for sales team owners to fill out and present at global connects.
  • Assist in presentation slide development for Town Hall sales wins.
  • Provide data on demand to compare historical data and trends utilizing G&S Sales Database Systems .
  • Support in compiling data and creating charts and graphs for presentations upon request.

BUDGET AND FINANCIAL ORGANIZATION

  • Process and keep Record of Customer and Partnership Rebates.
  • Manage access and visibility of customer online portals to be able to pull information from customer databases.
  • Monitor and review budgets every month to accurately project financials.
  • Initiate Invoice Processing when needed.
  • Work with the Finance team to ensure timely customer monthly and quarterly payment processing.

SOCIAL COORDINATION

  • Team Event Coordinator.
  • Tradeshow Management.
  • Administration of Sales VP Calendar.
  • Coordinate Top to Top Customer Onsite Meetings.
  • Team Motivation and Morale Activities.
  • Schedule Customer Meetings.
  • Arrange Business Dinners
  • Aid in Business Travel Planning.

EDUCATION

Bachelor's degree or equivalent experience preferred.

EXPERIENCE

  • Minimum of 3 years of office administration and sales-related experience.
  • Experience in multiple functions and geographically dispersed teams appreciated.
  • Experience in luxury goods, hospitality, or consumer products preferred.

  • Relationship building - Ability to build and maintain strong relationships with customers, peers, and support staff. Understand team dynamics; works well independently and within a team structure. Capable of working with others proactively and constructively. Works well with various personality types and supports diversity.
  • Customer Service - responds promptly to requests for service and assistance as needed.
  • Judgment - fact-based decision-making style and someone who recommends solutions at both a strategic and functional level. Exhibits sound and accurate judgment.
  • Proficient use of MS Windows and Office (Word, Excel, PowerPoint, Outlook, CRM, TEAMS, NoteOne). Familiarity with Phocas, Peoplesoft, and Salesforce.com preferred.
