Who we are looking for

Under supervision of Depositary Manager/Senior Depositary Manager, the Depositary Operations Specialist SME engages in overall business specific tasks, in supporting various projects within teams as well as special analysis and initiatives relating to knowledge based aspects of the business.

Provides support to Depositary Manager/Senior Depositary Manager and German Depositary teams to ensure all deliverables are produced and dispatched on time in accordance with client service level agreements and agreed quality standards

This role can be performed in a hybrid model, where you can balance work from home and office to match your needs and role requirements.

What you will be responsible for

As Depositary Operations Specialist you will

  • Take a leading role in the review of corporate documentation of processes, procedures and controls across client groups.
  • Evaluate their continuing effectiveness and accuracy. Initiate remedial action as necessary. Ensure documentation exists for any client-specific procedures.
  • Participate as a SME in the development, testing and implementation of new systems and products relating to the ongoing business transformation process. Provide regular progress reports and give feedback during project meetings.
  • Act as a subject matter expert in various daily/weekly/monthly tasks. Be a business champion in processes delivered by German Depositary department. Provide support to processing teams, is able to share expertise, provide explanation and guidance.
  • Act as central point of contact for process issues encountered in the daily business. Track issue trends and escalate as needed.
  • Overview and controls the deliverables (quality checks).
  • Support BAU if required.
  • Contribute to analysis and planning of Operating Model with the aim of standardizing processes and establishing best practice.
  • Provide knowledge and planning support for new business transitions to Poland. Ensure proper governance and controls are in place. Perform post-transition analysis to identify process gaps.
  • Work closely with Training Department and business lines to identify training needs within the team. Ensure that those needs are met by delivering training sessions to staff on agreed topics.
  • Drive CI and Lean initiatives. Look for waste throughout the processes and teams and eliminate them. Aim for standardization and automation.
  • Take part in business transitions outside of Poland if necessary. Monitor migrated tasks post transition.
  • Deliver walkthrough for the auditors. Be engaged in the pre-audit work, prepare audit samples and drives remedy actions execution to close the findings in a timely manner.
  • Contribute in productivity monitoring and seeks ways to improve individual as well as team productivity in accordance with Poland goals.
  • Review Fund components and completes the reviewer's checklist as needed. Perform final review of deliverables and signs off before dissemination.
  • Liaise with other internal clients and supporting departments for the purpose of obtaining key inputs to service delivery, resolving errors and discrepancies. Work closely especially with other Depositary SMEs and Depositary Developers.
  • Assist Team Manager in the organization of the Team's work. Coordinates the work allocation. Be Manager's deputy when necessary.
  • Ensure that departmental procedures and controls are adhered to. Work closely with Risk Officer to assure risk excellence standards.
  • Identifie issues and problems in service delivery and carries out necessary corrective action. Keep team Manager informed of issues. Ensure the issues log is updated and tracks progress.
  • Support Team Manager to ensure that accurate KPIs are prepared and disseminated to the donor site. Take part in Service Review calls as per SLA requirements.
  • Provide process support to Depositary teams in relation to fund events.
  • Provide timely and professional responses to all enquiries.
  • Keep Team Manager informed as to the daily work progress and status of requests.
  • Establishe and maintains good working relationships with internal clients and colleagues. Demonstrate collaboration with other teams and departments

Education & Preferred Qualifications

  • Accountancy or Business related degree (preferred)
  • 2+ years experience in depositary area is required.
  • Principals of regulations: AIFMD, UCITS, KAGB
  • Numeracy / Literacy skills
  • PC literate and excellent in use of spreadsheets and word processing
  • Systems knowledge: MCH, eHorizon, MyView, AOM
  • End to end process understanding
  • A thorough understanding of depositary rules is required
  • Excellent English.
  • Finished FTM program or equivalent
  • Train the trainer certificate would be a benefit
