THE ROLE
The Outbound Dock Registrar is responsible for managing the timely and accurate flow of property through Sotheby’s outbound areas. This role plays a key part in ensuring property is released from inventory safely, accurately, and in alignment with established procedures. The ideal candidate will work efficiently with both internal departments and external vendors while maintaining a high level of organization and attention to detail. In addition to dock operations, this role includes opportunities to cross-train and support other registrar functions across the Logistics Team, ensuring greater flexibility and collaboration across departments.
RESPONSIBILITIES
- Execute the daily schedule of outbound collections and occasional inbound deliveries.
- Manage unscheduled collection requests by verifying paperwork, confirming accuracy, and resolving discrepancies with relevant colleagues.
- Coordinate third-party collections in partnership with Post Sale Services.
- Delegate and oversee tasks assigned to union colleagues, including Project Leads, for the movement and handling of property.
- Pull and verify property for upcoming collections or transfers, ensuring readiness and accuracy.
- Examine and verify property details at the point of release, including piece count and condition.
- Maintain organization and safety standards within the outbound dock and front counter collection areas, ensuring all property is handled with care.
- Accurately complete releasing documentation and maintain records for audit and compliance purposes.
- Occasionally receive inbound property, verifying all associated data for accuracy and completeness.
- Cross-train in other Logistics areas and provide support across Registrar functions as needed, promoting operational flexibility and a team-first mindset.
IDEAL EXPERIENCE & COMPETENCIES
- Bachelor’s degree preferred.
- At least 1 year of experience in a Registrar, Collections Management, or similar role; supervision experience is a plus.
- Working knowledge of fine and decorative arts and luxury objects.
- Exceptional attention to detail and accuracy.
- Strong organizational and time management skills, with the ability to multitask effectively in a fast-paced environment.
- Strong communication skills with the ability to interact professionally across all levels of the organization.
- Team-oriented with a collaborative approach to completing tasks.
- Flexibility to work overtime and weekends as business needs require.
The expected hourly rate for this position ranges from $24.00 - $25.00/hour. Employees in this role may be expected to work overtime, and will receive additional pay at the applicable overtime rate. In addition to hourly wages and overtime, successful candidates will be eligible for benefits as required by law. Our offers are based on a wide range of factors including relevant skills, training, experience, education, and, where applicable, licensure or certifications obtained.
