Overview

Manage Customer and Sales requests for Commercial, Logistics, Technical and Service support. - Enter and administrate orders

Support Customers and the Sales team with order processing, general pre-sales & post-sales queries, stock levels, credit information, logistics and basic product information with the objective of continuous improvement and maximizing customer's satisfaction. Detect all opportunities to serve the customer while addressing customer support requests and perform outbound sales activities.

Duties and Responsibilities

  • Responsible for Order-to-Invocing for CTO, Transactional Orders, EDI, Standard, Mag Approval and Internal Orders . Process the order from Purchase Order database, order entry acknowledgment, order status review shipment pre-alert, fulfillment and delivery.
  • Liaise with sales, Project Team, and customers to resolve PO price discrepancy and unbooked Project Orders.
  • Manages backorder and date management of Project Orders
  • Serves as primary focal point for Projects Team and Customer. Analyses, filters and advocates customer's requirements and concerns.
  • Proactively manage Request Delivery Dates to optimize supply and delivery to customer
  • Chair weekly conference call with country sales or distributors on order review.
  • Liaise with Supply Chain Planning and factory on supply status and PDU configurations, follow up closely on delivery schedule to ensure full solutions delivered on time as per promised on site date.
  • Liaise with local entity Logistics pertaining to in transit / shipment & order details.
  • Monitor each Project closely and on-top of progressing status.
  • Anticipate problems and provide early warnings.
  • Generates Reports for customers on the status of Open Orders and report to estimate inventory and revenue landing for each country.
  • Generated Project Tracker for Project Management Team to estimate Project Closure and invoicing
  • Proactively Monitor completion of project start-up, release invoicing hold to close the order and trigger invoicing.
  • Comply with company policies & procedures and audit requirements.
  • Comply and maintain On Time Delivery & OM key performance metrics at all times.
  • Generate daily Open Orders Report.
  • Monitor aging of staged inventory in DC.
  • Coordinate with forwarders for collection arrangement and pre-booking of vessel.
  • Support customer's order-to-delivery and logistics coordination.
  • Focal contact to customers on OM and Logistics issue and requests.
  • Process stock rotations and CMA requests.
  • Guide Fulfillment Coordinators and Order entry personnel for process related or point of contact related questions.
  • Perform RCA for issues and concerns arising relating to the order and case handling process
  • Other adhoc tasks relating or Order Management Process

Qualifications

  • Bachelor's/College Degree in any field
  • 3 to 5 years relevant experience - General Customer Service includes post-sale and/or non technical customer service.
  • 1-2 years relevant experience handling project coordination for multiple stakeholders. Proven track record of projects handled and completed.
  • Flexible and willing to work additional hours during high peak volume times during each quarter.
  • Able to deal with stressful situations & multiple conflicting priorities and strong ability to multitask and work in fast paced, constantly changing environment. Able to work well with people.
  • Organization and problem-solving skills with attention to details is highly desired.
  • Applicants must be willing to work in Cavite.
  • Familiar with computers and related software.
  • Fluent in English, both verbal and written, is required.
  • Intermediate user of Microsoft Excel
