Mission :
In this role you will be reporting to the CFO (Vice President of Finance) for UK & Ireland and will have full involvement with the broader Finance community in addition to supporting the VP Customer Operations UK & Ireland. You will act as the first point of contact for the VP's and efficiently direct and manage requests for their attention. Duties will be varied and will require a real can-do, helpful and friendly attitude moderated by a critical awareness of the sensitivity and confidentiality of the information and issues involved.
Key responsibilities:
The tasks involved in this role include (but are not limited to) are the following:
- To have full ownership of the VP's diary and calendar, to schedule appointments and effectively manage it with appropriate level of priority, promote and maintain effective relationships at all levels across the business,
- To coordinate the agenda for meetings, taking meeting notes as and when required and issuing actions post meetings.
- Processing of privileged and sensitive material in compliance with the demands of both data protection and corporate commercial confidentiality
- Preparation, co-ordination and timely dissemination of high quality and accurate presentations and materials; including formatting, editing, collating slide decks and ensuring that all documentation reflects the appropriate corporate and departmental standards. These will include weekly, monthly, quarterly meetings and reviews
- Preliminary review of documents requiring signature such as contracts and internal approvals to ensure all required steps and prior approvals have been obtained
- Support the team to reach 100% completion by required deadline on all routine process tasks, including globally mandated tasks (trainings etc.)
- Comprehensively organising travel arrangements including trains / flights, hotel bookings, visa applications; organising events and meetings, arranging venues, catering and audio-visual equipment and receiving guests, as appropriate
- Processing expenses claims in a timely manner.

Skills and attributes:
- Exemplary confidentiality and discretion
- Ability to meet multiple deadlines and managing competing priorities in a calm and efficient manner
- Proficient in Microsoft Office programs including but not limited to Word, Outlook, Excel and PowerPoint, high standard of literacy and numeracy; strong word-processing, PowerPoint and excel skills
- Good interpersonal skills; tact and empathy, with a calm manner
- Good judgement of sensitivity to situations; unafraid to ask for guidance
- Willingness to learn and engage in training; commitment to continuing professional development and ethical practice
- Flexibility, Ability to prioritise and multi-task are critical to this role.
- Fluent English (Written and Verbal)
- Ability to work independently and as part of a team
