Job Summary

We are looking for an enthusiastic Executive Assistant to support our VP of Sales in our Frankfurt office. Experience in supporting senior executives in a fast-paced, global organization is preferred. The ideal candidate is dedicated, resourceful, and demonstrates exceptional attention to detail and professionalism. Strong organizational and communication skills, along with the ability to manage priorities, are essential.

Responsibilities

Meeting and Event Planning/Preparation

  • Organizes meetings and develops agendas and meeting materials (such as presentations and reports) as needed
  • Prepares meeting rooms, ordering catering for both internal and external facing meetings
  • Providing a warm and friendly welcome for external visitors and greeting them upon arrival
  • Plans and organizes business unit special events

Communications

  • Maintains confidentiality and professionally deals with highly sensitive information
  • Acting as the first point of contact for external and internal inquiries, dealing with both difficult and sometimes highly confidential/sensitive issues
  • Manages the office and ordering and restocking supplies when needed

Special Projects

  • Coordinates special projects as needed, e.g., regular and ad hoc social and company events

Budgeting and Expense Management

  • Manages departmental budgets
  • Processes expense reports and POs and proactively manage these to completion

Calendar Management and Travel

  • Coordinates and manages complex calendars over multiple time zones
  • Makes travel arrangements as needed
  • Supporting the wider senior management team when needed

Qualifications

  • Advanced proficiency in Microsoft Applications, including Word, Excel, PowerPoint, and Outlook
  • Ability to prioritize and re-prioritize in a dynamic environment
  • Highly organized and detail-oriented with an ability to work on your initiative
  • Ability to execute tasks and make decisions with little supervision
  • Standout colleague with a customer service focus and the ability to relate to employees with a wide variety of personalities and functional expertise
  • A great sense of humour is always appreciated
  • Bachelor's degree desired
  • Excellent written and verbal communication skills
  • Fluency in English and German is a requirement
  • Experience working as an Assistant or Executive Assistant supporting a VP or similar
  • Experience working in a culturally diverse and global company is a plus
  • Desire to thrive at Equinix and change the way the world connects
