The Recruiting Coordinator is involved in many aspects of the recruiting and hiring process including interview scheduling, offer letters, background checks, and pre-hire paperwork. This role will have an emphasis on execution and ensuring a positive experience throughout the recruiting and hiring process.

Essential Functions/Responsibility Statements:

  • Act as the primary on-boarding contact for the candidate ensuring that new hires and transfers are informed throughout the process and complete all necessary steps before starting in the new role.
  • Maintain accurate records and ensure that all activities comply with applicable laws, regulations and company policies.
  • Partner with the Recruiter to schedule and coordinate interviews with hiring managers, ensuring a smooth and efficient process for all parties involved.
  • Partner with the Recruiter to draft offer letters and obtain the necessary approvals for customizations where applicable.
  • Initiate the background check process and partner with the Onboarding Team to ensure that all candidates are cleared prior to hire and that all pre-hire paperwork is complete.
  • For candidates requiring visa sponsorship or relocation support, partner with the Mobility team to ensure appropriate language is included in the offer letters. Collaborate with Mobility & Onboarding on next steps in the process once a visa is approved. Where applicable, work with the travel agency to coordinate candidate travel.
  • Establish relationships with candidates, team members, recruiters and business partners by acting as a consultant throughout the hiring process and providing meaningful communication to assist in the successful completion and exceptional hiring experience.
  • Identify and implement opportunities to streamline processes, enhancing both candidate experience and operational efficiency.
  • Support ad hoc projects and tasks.

Education:
Associate's Degree or equivalent work experience: HR, Business or equivalent field. Pref

Work Experience:
0+ Years HR. Pref

  • Ability to handle sensitive information with the highest degree of integrity and confidentiality

  • Strong verbal communication, writing and interpersonal skills along with the ability to form strong cross-functional relationships

  • Ability to prioritize tasks and handle numerous assignments simultaneously

  • A demonstrated level of confidentiality and professionalism
  • Demonstrated proficiency in the use of the MS Office suite, in particular, Excel, Word, and PowerPoint

  • Team player mindset, actively take initiative and have a strong work ethic
  • Have a "customer service" orientation with ability to escalate issues when appropriate
  • Demonstrated use of analytical skills - both using tools (ex. Excel, Business Objects, etc.) and problem solving/critical thinking skills

Working Conditions: Frequent Minimal physical effort such as sitting, standing and walking. Occasional moving and lifting equipment and furniture is required to support onsite and offsite meeting setup and teardown.
