We are looking for a dynamic and highly self-motivated administrative assistant to join the team. The incumbent would provide executive support to the Head of the MSAT Injectables Platform and Head of MSAT Recombinant DS Platform and general administrative support to MSAT team in North America. This position will enhance the executive's effectiveness by providing direct and indirect support to improve the overall efficiency of their role, as well as the roles within these departments. Work is generally administrative and covers a wide range of activities and projects. Proactively ensures smooth and efficient flow of day-to-day operations. Multiple demands are common and require a high degree of flexibility, judgment, and organizational skills. Responsibilities will include but not be limited to managing key projects such as space planning, booking and managing national and international travel, expense reporting, organizing meetings, and administrative support for critical departmental activities. High level of interaction with Senior Management Level executives, external partners, and consultants is anticipated.

Duties & Responsibilities
  • Manages multiple, often conflicting, priorities in a fast-paced and demanding environment managing multiple time zones.
  • Maintains and establishes regular contact with relevant Sanofi executives and their assistants.
  • Maintains a high level of confidentiality and professionalism due to the nature of work relating to potential future initiatives/projects with significant impacts on Sanofi globally.
  • Expert level written and verbal communication skills, strong decision-making ability, attention to detail and organization are equally important.
  • Uses tact, diplomacy, sound judgement, and informed decision making to ensure the on-going operation of the business area.
  • General administrative support with little supervision including but not limited to maintaining organizational charts, support staff recruitment, purchase orders, etc.
  • Proactively manages calendars, schedules meetings, organizes events, manages domestic and global meeting logistics, and arranges domestic and international travels.
  • Ensures efficient and compliant processing of expenses.
  • Creates, updates and revises PowerPoint presentations, department intranet site, MS Team pages, etc.
  • Logistics support coordination and set up of meetings, events, face to face off sites, etc. Managing the process from start to finish, arranging location, book conference rooms, necessary equipment, supplies, prepare agenda and relevant information, and other relevant tasks
  • Fulfills scheduling and coordination, document development, and on-site administrative support.
  • Provides a positive presence and excellent support with communications and meetings in person.
  • Interfaces with important functions such as P&C, Finance, Procurement, Facilities, Security and Digital/IT. Prepares documentation for payment of vendors, consultants, and suppliers; submit SOW and track lifecycle of submission thru execution of Purchase Orders; respond to inquiries from accounts payable and payees.
  • Point of contact for external business partners

About you

Preferred Qualifications
  • 5+ years experience in administrative support function with experience supporting a global function
  • High level of proficiency in using technology including Microsoft Office Suite (Outlook, Excel, PowerPoint, Word, Teams, and others).
  • High level of proficiency in organizing face to face meetings, scheduling, and operating Zoom meetings. Experience with SharePoint content administration.
  • Familiarity with pharma industry and business organization
  • Experience supporting senior-level business leaders
  • Excellent verbal and written communication skills
  • High ethical standards, maintains confidentiality
  • Ability to work independently and proficiently in a global, multi-site, multi-national environment, and muti-time zone
  • Ability to prioritize effectively and collaborate with cross-functional team members and other administrative staff
  • Establishes and maintains good working relationships and internal networks with minimal direction; demonstrated ability to work effectively and cooperatively in a team environment.
  • Ability to navigate organization with minimal direction, in support of completing task
  • Strong initiative, tact and diplomacy, and interpersonal skills a must
  • Ability to focus on and manage successfully changing priorities dictated by a fast paced internal and external environment.
  • Flexibility with muti-time zones and key deliverables
