The Senior Facilities Manager is responsible for overseeing all Facilities-related functions to ensure that the Austin office is operating smoothly & efficiently. This person manages the Austin Facilities team, their support staff, contractors, and vendors to create and maintain a safe and pleasant work environment, manage office services, organize office events, and support cross-functional teams. The Facilities Manager serves as the main point of contact for internal and external stakeholders, handling inquiries and resolving issues as they arise.

- Oversee and support all facility and administrative duties in the office and ensure that the office is operating smoothly
- Foster a positive and collaborative office culture, addressing any employee concerns or needs
- Coordinate office maintenance, including liaising with service providers and vendors
- Supervise and support the Facilities staff, vendors, and contractors
- Serve as the primary point of contact for office staff and external visitors
- Collaborate with IT, HR, and Facilities teams to address office needs and troubleshoot issues
- Manage and continuously improve office policies and procedures, ensuring they are implemented appropriately
- Work with external service providers (e.g. janitorial, catering, HVAC) to ensure the office is well-maintained and service agreements are met
- Assist in managing Facilities budget and expenses, processing expense reports, and ensuring proper allocation of resources
- Manage relationships with suppliers and negotiate pricing and contracts for office-related services
- Draft and distribute internal communications, memos, and announcements as necessary
- Ensure compliance with health, safety, and legal regulations
- Manage office layout planning and manage seating plans
- Identify opportunities for process and office management improvements, and design and implement new systems
- Organize company gatherings, team building sessions, and other events, both on-site and off-site
- Support HR and Hiring Managers with welcoming and onboarding new employees
- Manage construction projects as needed
QUALIFICATIONS:
- Bachelor's Degree preferred, but experience can serve as a substitute
- Minimum of 12 years of experience as an Office Manager, Front Office Manager, Facility Management
- Knowledge of Facilities Manager responsibilities, systems, and procedures
- Experience with project management
- Proficiency in MS Office Suite
- Excellent time management skills and ability to multi-task and prioritize
- Excellent written and verbal communication skills
- Strong organizational and planning skills and can thrive in a fast-paced environment
- A creative mind with the ability to suggest improvements
- Ability to think quickly and adjust when plans change
- Strong interpersonal skills, withthe ability to manage customer relationships
- Demonstrated desire to learn about the Company
- Excellent proficiency with Microsoft Office (Excel, Word, PowerPoint, Outlook) and Teams
- Strong leadership and communication, and ability to meet deadlines
- Strong organization skills and ability to coordinate multiple tasks and deliverables
- Ability to multi-task, while working independently and as part of a team
- Motivated self-starter, goal-oriented, and strong problem-solving abilities
- Proven ability to empathize, build relationships, and effectively communicate with people from a diverse set of backgrounds
- Responds well to direction, is easy to challenge and develop, and is coachable
- Is detail-oriented, has strong business acumen, and a sound understanding of business concepts
- This position is an office-based role
- must be able to sit, walk, or stand for long durations of time
