Job Summary
The Sales Enablement Specialist is responsible for managing and optimizing the administrative processes that support the sales team's success. This role ensures compliance with vendor requirements, oversees key processes like Certificate of Insurance (COI) renewals, Request for Proposals (RFPs), and third-party compliance. The Specialist collaborates closely with Account Executives (AEs), internal teams, and external vendors to drive efficiency and compliance, enhancing the company's overall sales performance. Reporting directly to the Director of National Business Development, and will be located at RMC's headquarters in Livermore, CA. This role demands a proactive and detail-oriented individual who excels in process management, cross-departmental coordination, and data-driven decision-making.
Key Responsibilities:
- Documentation & Compliance: Manage compliance documentation processes, ensuring accuracy for COI renewals, RFP submissions, and third-party vendor agreements.
- Salesforce & Data Management: Maintain data accuracy in Salesforce, ensuring active compliance with a multitude of renewal dates and client information to remain current.
- Compliance Oversight: Manage compliance processes for COIs, RFPs, and vendor agreements, ensuring 100% adherence and timely renewals.
- Onboarding & Renewals: Manage high volume of onboarding of new Third Party Compliance Programs, ensuring client agreements, vendor packets, RFIs, and digital applications are accurate and up to date.
- RFP and Vendor Packet Management: Ensure timely and accurate completion of all required vendor documentation, including packets, RFIs, and compliance submissions.
- Contract Execution: Partner with internal teams to manage contract reviews and execution, ensuring legal and client requirements are met in a timely manner.
- Primary Point of Contact: Act as the main liaison for contract-related queries, coordinating between vendors and internal teams, setting clear timelines, expectations and ensuring accountability.
- Cross-departmental Collaboration: Drive continuous improvement by working with internal teams to align, evaluate, and enhance contract management processes, achieving operational efficiency and consistently meeting deadlines.
- Library of Information Requests: Develop and maintain a centralized library for common data requests, streamlining data gathering across teams for efficient task completion.
- CRM Accuracy: Ensure CRM records are up to date, supporting account executives in campaign participation and ensuring smooth sales operations.
- Bachelor's degree in a business-related field, preferred.
- 3-5 years of proven experience in a marketing/sales specialist role or similar, with a strong emphasis on process management and cross-departmental coordination.
- Strong analytical, communication, and interpersonal skills to effectively collaborate with internal teams and external vendors.
- Proficient in Microsoft Office Suite, Adobe, CRM (Salesforce), and lead management systems to efficiently handle daily tasks and manage data.
- Well-organized, detail-oriented, with the ability to multi-task and manage multiple projects simultaneously, ensuring deadlines are met and quality is maintained.
- Process thinker who is proactive in driving processes and resolving issues, someone who can anticipate potential challenges and implement solutions before they arise.
- Experience in creating, enhancing, and managing processes that impact or involve multiple departments—with a focus on efficiency, accuracy, and continuous improvement.
- Experience in handling third-party compliance and vendor management, including contracts, Certificates of Insurance (COIs), and RFP processes.
- Proficient in data governance within CRM systems, ensuring data integrity, accurate reporting, and effective use of CRM tools for sales and marketing initiatives.
Safety Requirements
- Regulatory Requirements: Adhere to all local, state, and federal safety regulations, including OSHA and EPA standards.
- Personal Protective Equipment (PPE): Required PPE may include gloves, masks, goggles, hard hats, and safety footwear. All employees must wear PPE as required for their specific roles and job site conditions.
- Ergonomic Practices: Practice ergonomic principles to prevent musculoskeletal disorders. This includes proper desk setup, using adjustable chairs, and maintaining good posture while seated.
- Office Safety Protocols: Adhere to established office safety protocols to maintain a secure work environment. This includes the following guidelines for the proper use of office equipment and ensuring that workspaces are free from clutter to prevent trips and falls.
- Safety Training: Complete all mandatory safety training sessions, including but not limited to hazard communication, emergency response, and safe equipment handling.
- Reporting Safety Concerns: Ability to identify and immediately report any unsafe conditions, hazards, incidents or injuries to supervisors without fear of retaliation.
- Emergency Procedures: Familiarize yourself with emergency procedures relevant to your specific job site, including evacuation routes, and emergency contacts.
- Physical Clearance: Successfully complete a pulmonary function test, including a respirator fit test, to ensure their ability to safely utilize the designated respirator selected for the role.
- Physical Hazards: Potential exposure to physical hazards, including vibration from equipment, the risk of falls in the workspace, exposure to extreme temperatures, and high noise levels.
- Chemical Hazards: Work may involve exposure to various chemicals, including solvents, adhesives, paints, and cleaning agents. Proper use, handling, and storage of these materials are essential to maintain a safe work environment.
- Biological Hazards: Work may involve exposure to biological hazards, such as mold, bacteria, and other pathogens commonly found in restoration environments.
Physical Requirements
General Physical Abilities:
- Lifting and Carrying: Ability to lift and carry materials or equipment weighing up to 25 lbs. regularly and up to 50 lbs. with assistance.
- Physical Activities: Ability to perform tasks that require, walking, bending, reaching, crouching, kneeling, climb, squat, crawl, lift above shoulder, reach, and twist.
- Sitting and Standing: Prolonged sitting or standing required (in office, driving and/or at job sites). Regular alternating between sitting and standing
- Repetitive Motions: Continuous repetitive motion and tasks involving L/R hand movement (computer/mouse), wrists, or arms (e.g., typing, data entry).
- Machinery Operation: Capacity to operate machinery and tools as required by job tasks, which may involve fine motor skills and hand-eye coordination.
- Visual Ability: requirement for clear vision (e.g., close work, computer use, eye coordination)
Working Conditions
Office Environment:
- Indoor office setting for corporate roles, including working with standard office equipment (computers, phones, printers). May involve regular meetings, (in person or zoom) and collaboration with team members.
Field Environment:
- Outdoor fieldwork at restoration sites, which may include residential, commercial, or industrial properties. Duties may involve exposure to different weather conditions (sun, rain, snow, heat).
Hazardous Environments:
- Potential exposure to hazardous materials, chemicals, or contaminants specific to restoration work, requiring strict adherence to safety protocols and use of PPE.
- Work after hours and weekends given our 24/7 business operations
Travel Requirements:
- May include travel to and from job sites, requiring the use of company vehicles. Possibility of attending out-of-town training or conferences.
