What you will do

PGIM's DEI Office is seeking a Project Administrative Assistant to support programs and activities within the team's Talent, Culture and Community pillars. Report to the VP of Global DEI Programs, the Project Administrative Assistant will be responsible for supporting senior level leaders on the team by demonstrating swiftness in communication, exercising exceptional judgement based on experience, maximizing efficient use of time on behalf of leaders and developing strong collaborative relationships across multiple constituents both internally and externally.

What you can expect

The Project Administrative Assistant will support the following program activities, including but not limited to:

  • HBCU Investment Initiative - a multi-year support of Hampton University and Florida A&M University through a series of learning sessions, on-site experiences, and career development opportunities with PGIM senior and executive leaders.
  • External Talent Partnerships - PGIM DEI partners with executive and senior leaders and Talent Acquisition team to optimize impactful engagement across brand, talent and leadership priorities.
  • DEI Investment Portfolio - a joint initiative between PGIM and Prudential through a series of internal and external road shows/events that will inform and highlight our work with emerging managers.
  • Talent and Culture Initiatives - includes the various efforts under way that support our inclusive culture.

Primary Responsibilities:

  • Support the project leaders by managing all day-to-day coordination including project meeting logistics with internal and external appointments, calendar management, and meeting agendas, briefs and follow-up.
  • Proactively coordinate and manage project-related events including but not limited to confirming venues, preparing event agendas and presentations, as well as managing travel arrangements including mitigating any unforeseen changes.
  • Maintaining a regular and open line of communication on all day-to-day activities (via email, text/SMS, telephone, virtual and/or in-person conversations)
  • Maintaining consistent database of contacts and touch points related to the project.

What you will bring

  • Discretion required in handling highly sensitive and confidential information
  • Ease in working in a fast-paced environment and adapting to changing priorities
  • Excellent proficiency in Microsoft Outlook; pride in maintaining an exemplary executive calendar; strong skills in Excel, Word and PowerPoint
  • Technologically savvy - familiar with digital apps and online resources
  • Exceptional written communications, with the ability to synthesize insights into compelling presentations.
  • Knows when to make decisions themselves and when to "escalate"
  • Resourcefulness and the ability to negotiate schedules and conflicts with other assistants and partners
  • Excellent organization, meeting planning, and project management skills with the ability to effectively juggle multiple high-level priorities
  • Forward thinking, actively seeking opportunities for improvement and proposing solutions
  • Self-motivated; demonstrates initiative and anticipates issues, provides realistic solutions, employs sound judgment and makes timely decisions
  • Able to work independently with minimal supervision, work under tight time constraints, and be able to prioritize his/her work
  • Ability to navigate meetings and commitments occurring in different time zones

Note: Prudential is required by state specific laws to include the salary range for this role when hiring a resident in applicable locations. The salary range for this role is from $65,000 to $78,000 ( Pro-rated based on Part-time hours worked) . Specific pricing for the role may vary within the above range based on many factors including geographic location, candidate experience, and skills.
