Responsibilities

What's Your Role?

We are seeking a highly skilled and talented Administrative Assistant to support the Latham, NY location.

General administrative support:

  • Reporting, copying, filing, faxing, display board maintenance, mail, supplies etc.
  • Pays invoices by verifying transaction information; scheduling and preparing disbursements; obtaining authorization for payment
  • Prepares financial reports by collecting, analyzing, summarizing account information and communicate anomalies
  • Maintains accounting ledgers by posting account transactions accurately and timely
  • Verifies accounts/reports by reconciling statements/documents and transactions
  • Resolves account discrepancies by investigating documentation; issuing stop payments if warranted, payments, or adjustments.
  • Maintains financial security by following internal accounting controls
  • Contributes to team effort by accomplishing related results as needed
  • Work on special projects as necessary (stakeholder engagement, cultural committee, etc.)
  • Back up: Processes payroll weekly for frontline employees/ runs payroll reports

Compensation and Benefits:

  • The expected compensation range for this position is between $37,000 - $58,950.
  • Location, confirmed job-related skills, experience, and education will be considered in setting actual starting salary. Your recruiter can share more about the specific salary range during the hiring process.
  • Paid time off subject to eligibility, including paid parental leave, vacation, sick, and bereavement.

Qualifications

  • Proven track record of managing multiple and competing priorities.
  • Meticulous attention to detail to ensure accuracy of data
  • Ability to anticipate needs and issues and act accordingly in addition to exhibiting good judgment.
  • Ability to manage workload in a fast-paced and high-intensity work environment.
  • Must be able to flex schedule to meet work demands (ex. early mornings, after hours).
  • Must be proficient in Microsoft Office suite (Outlook, Word, Excel). Strong excel skills preferred
  • Must have advanced PowerPoint skills and be able to independently create high-quality presentations that include charts, graphs, other visuals, etc.
  • Must have strong communication, interpersonal, time management, and problem-solving skills.
  • Ability to work independently with little or no supervision
  • Previous experience in a manufacturing & warehouse environment procuring goods, managing payroll, budget planning and/or continuous improvement is preferred.
