POSITION SUMMARY
The Tax Prep Team Lead for Optima Tax Relief, LLC (Optima) is located in the Santa Ana, California office and reports to the Manager, Tax Preparation. This role must lead its team by example, providing guidance to the team to achieve high-level performance and inspire personal development and growth with Optima employees. Team Leads must work with internal departments and leaders to ensure workflow and protocols are being met in a timely manner by the team. This will require thorough knowledge of the department system, process, and protocols as well as demand strong work ethic that models Optima values. This position will work closely with the Sales and Tax Professionals departments, will ensure the complete accuracy of completed tax returns, ensuring quality and accuracy. Team Leads must champion Optima's culture and Core Values and help lead the department to deliver the best customer experience.

ESSENTIAL DUTIES & RESPONSIBILITIES
  • The essential functions include, but are not limited to the following:
  • Timely respond to all escalated emails or calls in accordance with OTR work protocols.
  • Assist in reviewing the quality of tax returns and calls and provide feedback regularly.
  • Monitor KPIs to ensure the team is delivering services in accordance to the company's requirements. This includes tracking the activity in the production pipeline for Tax Preparers and producing daily production reports.
  • Update the team's production numbers as required.
  • Provide feedback and insight to team members to enhance potential opportunities for improvement and efficiencies.
  • Assists with projects, ensuring deadlines are met; includes suggesting improvements to enhance the department's performance and/or procedures.
  • Follow company protocols to ensure the highest level of security to protect the client Personal Identifiable Information (PII).
  • Promote a positive work culture to maintain high energy, morale, and continuous motivation.
  • Assist with monthly reviews for direct reports.
  • Manage scheduling and timecards to ensure accuracy and compliance with local, state, and federal laws.
  • Thorough knowledge of department processes and protocols.
  • Support and work closely with internal departments.
  • The incumbent exercises wide latitude in determining objectives and approaches to critical assignments.
  • Actively participates in Optima culture events and activities.
  • Other duties as assigned.
In order to be provided the essential training required to be successful in this role, it is mandatory that you are present for and complete all essential/initial training onsite for up to 5 business days (unless prior management approval is provided). Please note that additional onsite training may be required depending on business need.

Qualifications

EDUCATION AND EXPERIENCE REQUIREMENTS
  • Active California Tax Education Council "CTEC" license required.
  • 2 plus year's relevant experience preferred.
  • 1-2 years' experience as a supervisor / manager preferred.
