We're seeking someone to join our team as a Global Conferencing and Event Manager to lead comprehensive planning, coordination, and execution of conferences and events on premises at Morgan Stanley locations and external venues.
In the Corporate Services division, we provide solutions that enable Morgan Stanley's workforce, across our global workplace locations, to effectively and efficiently work in the service of our clients.
The Global Conferencing and Event team within Employee and Guest Workplace Solutions is a dynamic group dedicated to delivering exceptional experiences through expertly planned conferences and events. As we continue to expand, we are seeking an experienced Conference and Event Planner to join our team and help us create memorable events drive commercial value and showcase the firm's brand.

What you'll do in the role:
- Event Planning and Management: Oversee all aspects of conferencing and event planning, including venue selection, vendor management, logistics and on-site coordination including event briefing documents and post event evaluations.
- Program Coordination: Develop a global portfolio of venues for on premises and off premises in partnership with Employee & Guest Workplace Solution vendors. Portfolio due diligence to include site visits, feasibility studies, criteria for events and overall standard for event execution and design.
- Client Relations: Serve as primary point of contact for clients, ensuring their needs and expectations are met while providing expert guidance and recommendation.
- Budget Management: Develop and manage event budgets, ensuring cost-effective solutions and adherence to financial constraints.
- Team Coordination: Lead and collaborate with cross-functional teams, including creative design, culinary, marketing, and operations, to ensure seamless execution of events.
- Vendor Engagements: Negotiate contracts and manage relationships with vendors, including hotel, airline, transportation, catering, multimedia, and offsite venues.
- Logistics Coordination: Coordinate all logistical aspects of events, including transportation, accommodations, and on-site setup and breakdown with the appropriate vendors.
- Technology and Event Execution:
- Utilize Event Technology (Cvent) for data management, budgeting, and attendee management.
- Develop program production strategy with key stakeholder and multimedia for audiovisual, staging and webcast requirements.
- Partner with Creative Services to map out a consistent design and print plan - specifically, creating and designing conference and event collateral, including save the dates, invitations, speaker booklets, attendee lists, agendas and any other marketing material.
- Risk Management: Identify potential risks and develop contingency plans to address any issues that may arise during the planning and execution of the event.
- Marketing and Communication: develop and implement strategies for overall team communication strategies including ad hoc management summaries and intranet content.
- Post-Event Evaluation: Conduct post-event evaluations to assess success, gather feedback and identify areas for improvement through after-action reports.
- Innovation and Trends: Maintain an active awareness and understanding of global conferencing and event trends, innovations, and opportunities.
- Key Stakeholder Engagement: Manage and develop relationships with key business unit stakeholders and contacts. This also includes collaborating to understand how Global Conference and Event team can help enable productivity.
What you'll bring to the role:
- Minimum 5 years of experience in conferencing and event planning, with a proven track record of managing large scale events.
- Bachelor's degree preferred in relevant discipline
- Strategic thinker with keen eye for detail.
- Exceptional organization and project management skills.
- Strong negotiation and problem-solving abilities.
- Excellent communication and interpersonal skills.
- Ability to work under pressure and manage multiple tasks simultaneously,
- Proficiency in event management software including Cvent and Microsoft Office Suite.
- Ability to work independently as well as collaborate with other members of the team and across departments.

Expected base pay rates for the role will be between $95,000 and $145,000 per year at the commencement of employment. However, base pay if hired will be determined on an individualized basis and is only part of the total compensation package, which, depending on the position, may also include commission earnings, incentive compensation, discretionary bonuses, other short and long-term incentive packages, and other Morgan Stanley sponsored benefit programs.
