Position: Venue Sales Coordinator (Part-Time)
Department: General Management
Role Overview: Reporting to the Director of Venue Sales, the Venue Sales Coordinator is a part-time position (maximum 20 hours a week) on the General Management/Venue Sales team. The start date is ASAP and will extend through May 23, 2025.
What You'll Get to Do Here:
- Provide support to the Senior General Management Associate on YourEvent and Booking line inquiries
- Prepare monthly calendars for Concert Halls meetings and internal distribution (weekly)
- Support invoicing processes for Venue Sales team, ArtsVision data entry, and communications with the accounting department
- Receive all contracts for Venue Sales team, file in ArtsVision
- Enter COIs and supporting documents into ArtsVision
- Support Salesforce and ArtsVision maintenance
- Support scheduling meetings with clients and internal partners
- Take notes at weekly meetings
- Manage team camera and upload event photos (weekly)
- Maintain content and maintenance of team iPad
- Provide administrative support and special project support to Venue Sales team as needed

You'll be a fit if you bring:
- Minimum one year of experience in an office/administration support role.
- Minimum of one year of experience in a customer/client service role.
- Proficiency with the Microsoft Office suite.
- Interest in learning new technology or exposure to Salesforce, ArtsVision, and NetSuite.
- Highly organized and proactive problem solver.
- Familiarity with basic finance and project management concepts.
- Appreciation for the performing arts and other live events.
- Interest in event planning is a plus.
