The full salary range for this role reflects the competitive labor market value for all employees in these positions across the national market and provides an opportunity to progress as employees grow and develop within the role. Some roles at Liberty Mutual have a corresponding compensation plan which may include commission and/or bonus earnings at rates that vary based on multiple factors set forth in the compensation plan for the role.

As a Senior Executive Assistant, you'll play a key role in helping executives operate at their highest level of effectiveness. You'll manage complex calendars, coordinate meetings and travel, triage communications, and prepare high-impact materials with professionalism and discretion. This role requires strong decision-making ability, adaptability to shifting priorities, and a high degree of independence. Your recommendations will often be trusted and implemented, reflecting the strategic value of the support you provide.
To be considered for the role, you must reside within 50 miles of one of four key office locations in Plano, TX; Indianapolis, IN; Portsmouth, NH; or Boston, MA. You will report on-site twice a week. Please note that this policy is subject to change.
Responsibilities:
Executive Support & Calendar Management
- Proactively manage complex, dynamic schedules for multiple senior executives, including scheduling meetings across time zones and resolving conflicts with efficiency and discretion.
- Act as a strategic gatekeeper, ensuring executives' time is aligned with business priorities and key deliverables.
- Keep executives informed of schedule changes and help them stay on track throughout the day.
- Serve as a trusted liaison, screening and prioritizing communications-emails, calls, and meeting requests-based on executive preferences and business needs.
- Draft, edit, and proofread high-quality correspondence, presentations, and reports for both internal and external audiences.
- Prepare executives for meetings by gathering materials, creating agendas, compiling data insights, and coordinating logistics.
- Attend meetings as needed, take notes, and ensure timely follow-up on action items.
- Coordinate detailed travel arrangements, including flights, ground transportation, lodging, and agendas, tailored to executive preferences and schedules.
- Provide comprehensive travel briefings and manage any changes or contingencies.
- Process expense reports and track budgets with a high degree of accuracy and compliance with internal policies.
- Organize and facilitate team meetings, off-sites, town halls, and cross-functional project meetings-ensuring preparation, documentation, and follow-through.
- Support administrative processes such as records management, file organization (SharePoint, MS Teams), survey coordination, and stakeholder communication.
- Maintain distribution lists, manage shared resources, and assist with recurring team programs and initiatives.
- Monitor budgets and support resource planning by tracking expenditures and preparing financial forecasts or reports for leadership.
- Learn and apply new tools and technologies to improve executive productivity and team collaboration, offering basic troubleshooting and user support.
- Continuously look for ways to optimize processes and improve organizational efficiency.
- Solid knowledge of administrative procedures, software applications (such as Microsoft Office Word, Excel, PowerPoint, Teams, Adobe Acrobat, etc.) records management systems, and other business procedures and terminology.
- Excellent organizational skills, time management skills and attention to detail, to include anticipating needs, being resourceful and proactive.
- Displays high degree of professionalism in order to maintain confidential information with discretion, deal with people tactfully, and help establish strong relationships and positive communication.
- Strong ability to read complex settings and respond to challenging people and/or circumstances with diplomacy and tact.
- Competencies typically acquired through an associate`s degree (or equivalent) and 6 to 8 years of relevant and progressively more responsible administrative experience, to include prior experience providing support at the management level.
