Description and Requirements
Responsibilities:
- Report to the Vice President GTAP ISO and provide full spectrum of administrative support, including managing calendars, scheduling meetings, and coordinating travel arrangements.
- Prepare, review, and organize documents, reports, and presentations for executive meetings.
- Possible supervise a team of secretaries to ensure smooth operations to the leaders in the sales organization.
- Act as a liaison between the executive team and internal/external stakeholders, ensuring effective communication and follow-up.
- Assist in the planning and execution of strategic projects and initiatives.
- Conduct research, compile data, and prepare reports for executive decision-making.
- Manage confidential information with discretion and professionalism.
- Facilitate effective time management by prioritizing tasks and managing competing deadlines.
- Support the development and implementation of company policies and procedures.
- Anticipate the needs of the executives and proactively address them.
Requirements:
- Bachelor's degree in Business Administration, Management, or a related field.
- Minimum of 10 years of experience as an Executive Secretary or in a similar role supporting senior executives in high-growth or dynamic industry
- People management experiences in leading a team of secretaries or administrative staff will be an advantage
- Strong organizational and time-management skills with the ability to multitask and prioritize.
- Strong analytical skills with the ability to synthesize complex information.
- Project management experience and certification will be a plus
- Excellent written and verbal communication skills.
- High level of discretion and confidentiality.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
- Demonstrated problem-solving abilities and attention to detail.
- Ability to work independently and collaboratively in a fast-paced environment.
